Support site Documented Information systems in line with company and station procedures. This role involves managing and maintaining digital and hardcopy documents to comply with licence, security and regulatory requirements.

Responsibilities

  • Carry out activities in compliance with Documented Information procedures to ensure documents meet site licence requirements, company security obligations, statutory regulations, and safety rules, while maintaining customer focus.
  • Develop, load and maintain documented information on the Asset Management Suite (AMS) / Controlled Document Management System (CDMS) so approved documents are readily available.
  • Maintain a record schedule and record index on the AMS / Record Management Track and store records for easy retrieval.
  • Protect hard copy documents and records to ensure they are securely stored and easily retrievable in accordance with company requirements.
  • Maintain specified site technical documents to keep them accessible.
  • Notify registered copy holders of new document issues.
  • Respond to requests from internal and external organisations concerning documents, providing them in accordance with copyright and security classification.

Role Information

  • Produce and revise station drawings in line with engineers’ specifications to support plant modifications.
  • Oversee distribution of hard copy drawings, conduct regular audits, and maintain accurate records.
  • Digitally enhance historic technical drawings to improve legibility and clarity for engineering and project teams.
  • Support station teams by locating, retrieving historic drawings, uploading and managing them in the digital database.
  • Utilise internal data management systems.
  • Work as part of a team; strong communication skills, both written and verbal.

Qualifications

  • Proficient in 2D AutoCAD with experience in producing and editing technical drawings.
  • IT literate with confidence in Microsoft Office (Word, Excel, Outlook, Teams).
  • Skilled in creating and interpreting spreadsheets for data tracking and management.
  • Proactive, self‑motivated work ethic, thorough and diligent.
  • Ability to manage multiple tasks, prioritise, follow procedures and meet deadlines.
  • Clear, professional communication skills, verbal and written, with a collaborative approach.
  • Adaptable, quick to learn new software and systems.
  • Confident working independently or as part of a team.
  • Produce detailed technical drawings, plans and schematics based on specifications from engineers and contract partners.
  • Collaborate with engineers, contract partners and project managers to meet design specifications.
  • Revise and update drawings based on feedback and project requirements.
  • Ensure drawings adhere to industry standards and regulations.
  • Plotter management and scanning.

Who You Are

  • A GCSE/National Qualification standard (or equivalent) including English and Mathematics.
  • Proficient in Asset Management Suite (AMS) – Document Management, Action Tracking, Records, Track, CAP.
  • Proficient in CDMS.
  • Proficient in Microsoft Office – Word, Excel, PowerPoint.
  • Proficient in document reporting tools – Business Objects.
  • Working knowledge of documented information management systems.
