Job Responsibilities:

  • Act as primary contact for all vetting activities, becoming an expert in the vetting system.
  • Enter candidate details, chase missing data and progress candidates through the vetting process.
  • Assist the Labour Coordinator with the following tasks as the workload allows:
    • Sort through applicants, keep a database, shortlist candidates for phone interview.
    • Arrange onboarding of those who accept offers, including medicals, inductions and security clearances as applicable.
    • Maintain site records of attendance, holidays and sickness (no HR).
    • Assist the Training Manager with interviewing and onboarding of trainee applicants, booking training courses and maintaining training matrices.
    • Maintain records of leavers and reasons for leaving.
    • Draft contracts for new starters and verify Right to Work documents.
    • Maintain close relationships with labour agencies and utilise their workers to meet company targets for ratio of employed/hired workers.
    • Issue PPE and other consumable items.
  • Handle a fast pace workload, managing multiple tasks and queries for multiple candidates ensuring none are left behind.
  • Proficient in the use of Outlook, Word, Excel and Teams.
  • Accurate record keeping and knowledge of GDPR regulations regarding data storage.
  • Excellent communication skills – verbal, telephone and email.
  • Systematic and logical approach to dealing with ongoing issues, prioritising workload.
  • Flexible and adaptable to change at a moment’s notice; resilient against no‑shows and candidates pulling out.

Qualifications:

  • Previous administration experience required.
  • Good working knowledge of employment law.
  • Possession of a valid driving licence and transport to attend the site office.
  • Possession of a CSCS card.
  • Proficiency with Outlook, Word, Excel and Teams.
  • Knowledge of GDPR regulations.
