Key Responsibilities

  • Manage purchasing, supplier price checking, and timely ordering of materials, plant, turf, and machinery hire.
  • Maintain office and operational supplies including PPE, tools, consumables, stationery, and uniforms.
  • Keep accurate records of projects, orders and procedures, ensuring compliance and consistency.
  • Monitor and track project costs and budgets, providing reports and updates to directors as required.
  • Oversee Tree Protection Order (TPO) administration and coordinate scheduling with clients and site teams.
  • Communicate daily requirements clearly to site teams and liaise with managers to resolve operational issues.
  • Provide ad-hoc support to directors and managers, including reporting, filing, and administrative cover during holidays.
  • Ensure excellent client communication, ensuring clear and professional updates throughout.
  • Maintain and update quote templates, shortcuts, and working instructions for team efficiency.
  • Contribute to process improvements to increase operational efficiency and support business growth.

About You

  • Be highly organised and self-managing.
  • Be confident dealing with clients, suppliers and operational teams.
  • Be comfortable working independently within a small office environment.
  • Have strong commercial awareness and attention to detail.
  • Be able to prioritise and manage multiple workflows autonomously.

Essential Experience & Skills

  • Have a minimum of 4–5 years’ experience in a structured administrative or operations-based role (Experience within construction, landscaping, property or trade-based environments is preferred but not essential).
  • Advanced working knowledge of Microsoft Word (Quick Parts, templates, document automation) and Microsoft Excel (spreadsheets, cost tracking, reporting).
  • Experience managing purchasing, cost centres or operational scheduling is highly desirable.
  • Confident reviewing supplier pricing and negotiating where appropriate.

What We Offer

  • £30,000 gross per year.
  • Monday to Friday (40 hours per week).
  • 7:30am to 4:00pm, including a 30-minute unpaid break.
  • Stable, long-standing family business.
  • A varied and responsible role with real ownership.
