Key Responsibilities
- Executive Support & Stakeholder Management
- Acting as a trusted Executive Assistant to the General Counsel & Company Secretary.
- Managing complex diaries and coordinating high-level meetings across senior stakeholders.
- Organising Board, Committee and Executive Committee meetings well in advance.
- Supporting Non-Executive Directors with meeting logistics, travel arrangements and expenses.
- Coordinating Board dinners, leadership events and major corporate meetings.
- Assisting with onboarding and induction programmes for new Board members.
- Governance & Board Administration
- Preparing and coordinating Board and Committee agendas and papers.
- Managing the timely production and distribution of Board materials through governance platforms including Diligent Boardbooks.
- Supporting governance planning, actions tracking and meeting administration.
- Liaising confidently with internal teams and external advisers to ensure smooth governance processes.
- Supporting Joint Venture Boards and wider corporate governance activity.
- Company Secretarial & Compliance Support
- Assisting with statutory compliance and maintenance of corporate records.
- Supporting Companies House filings and regulatory processes.
- Assisting with stock exchange announcements and related governance notifications.
- Maintaining governance registers and supporting insider list administration.
- Supporting share scheme administration and audit review processes.
- Coordinating confidential documentation and electronic signature processes.
- Legal & Operational Support
- Supporting legal and compliance initiatives including attestation processes and governance registers.
- Coordinating risk review meetings and key governance deadlines.
- Preparing professional documentation, presentations and reports to a high standard.
- Providing proactive administrative support across a broad range of legal and governance activities.
Skills & Experience
The successful candidate is likely to bring:
- 3+ years’ experience in an Executive Assistant, Board Support or Company Secretarial support role.
- Experience supporting senior executives and Board-level stakeholders.
- Exposure to governance, legal or professional services environments.
- Strong organisational skills with the ability to manage competing priorities effectively.
- Exceptional attention to detail and a proactive, solutions-focused approach.
- Advanced Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint.
- Experience using governance platforms such as Diligent Boardbooks and Diligent Entities.
- Experience with DocuSign and SurveyMonkey would be advantageous.
