The Executive Assistant (EA) will provide high-level administrative and organisational support to the Chief Executive Officer. The role requires exceptional attention to detail, strong judgement, discretion, and a proactive approach. In addition to supporting the CEO, the EA will provide light-touch assistance to three members of the Senior Leadership Team (SLT) and oversee basic office management responsibilities to ensure the smooth day-to-day running of the London office. This is a fast-paced, high-trust role requiring flexibility, professionalism, and the ability to manage competing priorities with confidence.

Key Responsibilities

  • Provide comprehensive diary management for the CEO, including scheduling meetings, appointments, and managing complex workflows.
  • Coordinate international and domestic travel arrangements, including flights, accommodation, ground transport, visas, and detailed itineraries.
  • Prepare, submit, and reconcile expense claims for the CEO and provide support to selected SLT members as required.
  • Offer administrative support to three SLT members, including diary coordination, meeting preparation, and ad hoc tasks.
  • Act as a key point of contact for visitors, clients, and external partners, including meet-and-greet coordination.
  • Manage office supplies, including ordering, stock control, and inventory replenishment.
  • Liaise with courier services to arrange the timely dispatch and receipt of documents and packages.
  • Coordinate with facilities management and external vendors on general office requirements.
  • Answer incoming calls and provide office cover when the Office Manager is unavailable.
  • Prepare correspondence, documents, and presentations as directed by the CEO.
  • Maintain confidential records and files, ensuring strict adherence to data privacy and confidentiality standards.
  • Support internal meetings, events, workshops, and logistical arrangements as required.

  • Proven experience supporting C-suite executives or senior leadership teams in a fast-paced, professional environment.
  • Outstanding organisational and time-management skills, with the ability to prioritise effectively and manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills, with strong interpersonal capabilities.
  • High level of discretion, integrity, and professionalism.
  • Strong attention to detail and a proactive, solutions-focused mindset.
  • Proficient in Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and familiar with common scheduling and expense management systems.
  • Experience in basic office management, vendor liaison, and courier coordination.
  • Flexible, adaptable, and a collaborative team player.
