We are seeking an experienced Executive Assistant to support the Property Director and the wider Executive Office in managing a large, privately owned international residential property portfolio. This role sits at the intersection of high-level executive support and property management, providing seamless oversight of family residences, ensuring the smooth operation of the household, and delivering exceptional standards across all properties.
Key Responsibilities
- Provide day-to-day support to the Property Director in managing the family’s residential properties to the highest standards.
- Ensure properties are prepared for family, guests, and visitors, often at short notice.
- Coordinate with household staff, the wider Executive Office team, and external contractors to deliver a seamless and polished experience.
- Conduct regular property inspections to identify any maintenance or operational needs.
- Oversee planned maintenance across the portfolio, keeping accurate records and ensuring communication with all relevant parties.
- Manage reactive maintenance issues: log requests, liaise with contractors, follow up, and ensure all tasks are completed to standard.
- Research, vet, and manage suppliers and contractors, including utilities, to ensure work is delivered on time, within budget, and to the highest standards.
- Maintain close communication with property and household staff to ensure all tasks are addressed promptly.
- Ensure block management companies meet all legislative and regulatory obligations, including fire safety and Building Safety Act compliance.
- Maintain accurate fire safety and building compliance records.
- Act as the family’s representative with tenants, agents, and local stakeholders, ensuring strong relationships and clear communication.
- Manage ASTs (Assured Shorthold Tenancies), liaising with agents for tenant negotiations, renewals, and tenancy matters.
Compliance
- Ensure all properties comply with current health and safety regulations, insurance requirements, and landlord obligations.
- Maintain comprehensive and up-to-date compliance records.
Reporting, Analysis & Efficiency
- Assist the Property Director in collating regular reports for the family.
- Support ongoing process improvements, helping to refine procedures and ensure operational efficiency.
- Maintain and manage own work in progress, reviewing updates regularly with the Property Director.
Candidate Profile
- Minimum 5 years’ experience in property management, ideally within a family office or HNWI environment.
- Demonstrated knowledge of property operations, compliance, and maintenance management.
- Understanding of household plant and equipment (AC, boilers, electrics, lighting systems) preferred but not essential.
- Experience with high-value rentals and tenant management is advantageous.
