Executive Assistant – Private Equity

City, London | £65,000-£70,000 + Benefits | 10-Month Maternity Cover | Hybrid Working - 4 Days in the Office

We are partnering with a highly regarded global investment firm to appoint an experienced Executive Assistant to support its London Private Equity team on an initial 10-month maternity cover contract, starting in mid-to-late September.

Supporting a close-knit investment team of approximately 10, including four Partners alongside other investment professionals, this is a busy and highly autonomous role where you'll have genuine ownership of the day-to-day support function.

There is no other Executive Assistant dedicated to the team, so they are looking for someone confident working independently who can quickly understand priorities, keep momentum and ensure the Partners never need to chase for actions or follow-up.

This is much more than simply managing busy diaries.

They need someone proactive, resourceful and commercially aware, with a strong sense of urgency and the confidence to take ownership in a fast-moving investment environment.

The Role

  • Providing proactive Executive Assistant support across the Private Equity team, with the four Partners representing the primary focus and priority.
  • Managing complex and constantly changing diaries across multiple stakeholders and international time zones.
  • Coordinating high volumes of internal and external meetings, confidently managing conflicts and competing priorities.
  • Taking ownership of follow-ups and ensuring actions continue to move forward without senior stakeholders needing to chase.
  • Using persistence and a strong sense of urgency when securing time with busy and difficult-to-reach clients.
  • Coordinating extensive UK and international travel, including detailed itineraries and last-minute changes.
  • Supporting administration relating to live deals and portfolio activity, including maintaining information and reporting through CRM systems.
  • Coordinating client lunches, closing dinners, sector events, marketing events and wider team activities.
  • Supporting the preparation and coordination of Board papers and relevant Legal & Compliance documentation.
  • Processing expenses and managing wider day-to-day administration.
  • Supporting new joiner onboarding and visiting colleagues from international offices.
  • Acting as a trusted and highly organised point of contact across the team, anticipating what needs attention and taking action without waiting for direction.

About You

  • Experienced Executive Assistant with a background supporting senior stakeholders within private equity, investment banking, investment management or another fast-paced financial or professional services environment.
  • Highly proactive with a genuine sense of ownership – you're someone who sees what needs doing and follows it through.
  • Excellent complex diary management and scheduling skills, with the judgement to understand what should take priority.
  • Comfortable being the sole EA supporting a busy investment team and confident working independently.
  • Persistent and resourceful, with the ability to secure time with senior clients and external stakeholders when diaries are challenging.
  • Highly organised and able to manage multiple competing priorities without losing attention to detail.
  • Calm and solutions-focused when priorities change or last-minute issues arise.
  • Confident communicating with senior stakeholders and comfortable managing upwards.
  • Collaborative and approachable, despite working autonomously.
  • Strong Microsoft Office skills; CRM experience would be advantageous.
