The Executive Assistant (EA) will provide high-level administrative and organisational support to the Chief Executive Officer. The role requires exceptional attention to detail, strong judgement, discretion, and a proactive approach. In addition to supporting the CEO, the EA will provide light-touch assistance to three members of the Senior Leadership Team (SLT) and oversee basic office management responsibilities to ensure the smooth day-to-day running of the London office. This is a fast-paced, high-trust role requiring flexibility, professionalism, and the ability to manage competing priorities with confidence.
Key Responsibilities
- CEO & Senior Leadership Support: Provide comprehensive diary management for the CEO, including scheduling meetings, appointments, and managing complex workflows. Coordinate international and domestic travel arrangements, including flights, accommodation, ground transport, visas, and detailed itineraries. Prepare, submit, and reconcile expense claims for the CEO and provide support to selected SLT members as required. Offer administrative support to three SLT members, including diary coordination, meeting preparation, and ad hoc tasks.
- Office Management: Act as a key point of contact for visitors, clients, and external partners, including meet-and-greet coordination. Manage office supplies, including ordering, stock control, and inventory replenishment. Liaise with courier services to arrange the timely dispatch and receipt of documents and packages. Coordinate with facilities management and external vendors on general office requirements. Answer incoming calls and provide office cover when the Office Manager is unavailable.
- General Administration: Prepare correspondence, documents, and presentations as directed by the CEO. Maintain confidential records and files, ensuring strict adherence to data privacy and confidentiality standards. Support internal meetings, events, workshops, and logistical arrangements as required.

- Proven experience supporting C-suite executives or senior leadership teams in a fast-paced, professional environment.
- Outstanding organisational and time-management skills, with the ability to prioritise effectively and manage multiple tasks simultaneously.
- Excellent written and verbal communication skills, with strong interpersonal capabilities.
- High level of discretion, integrity, and professionalism.
- Strong attention to detail and a proactive, solutions-focused mindset.
- Proficient in Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and familiar with common scheduling and expense management systems.
- Experience in basic office management, vendor liaison, and courier coordination.
