Overview A high‑level Executive Assistant role supporting a Sales Director within a fast‑paced, commercially focused organisation. The position suits someone with experience in creative industries, art galleries, auction houses, luxury brands, or other high‑touch, relationship‑driven environments. You’ll act as a trusted partner, anticipating needs, managing shifting priorities and ensuring seamless operational support.
Key Skills & Experience
- Senior EA experience in creative, luxury or fast‑paced client‑facing sectors
- Strong organisational skills; confident managing complex diaries and international travel
- High commercial awareness with ability to handle data, budgets and reports
- Excellent communication and stakeholder management
- Exceptional attention to detail and professionalism with confidential information
- Proactive, solutions‑focused mindset
- Strong Microsoft Office and database proficiency
Core Responsibilities
- Manage and optimise the Director’s calendar, meetings and scheduling
- Coordinate international travel, logistics and briefing packs
- Handle expenses, invoices and budget tracking
- Act as a key liaison for internal and external stakeholders
- Prepare reports, presentations and management information
- Support follow‑up actions from senior meetings
- Maintain organised digital filing and office systems
- Coordinate visits, events, hospitality and client‑related arrangements
- Provide administrative support to sales and client‑facing teams
- Prepare documentation including PDFs, invoices and briefing materials
- Maintain and update sales or project records; support targeted research
