Job Title: Executive Assistant to the Chief Executive Officer
Location: London Office, United Kingdom
Reporting Line: Chief of Staff
Hybrid 3 days in office
Role Overview
The Executive Assistant (EA) will provide high-level administrative and organisational support to the Chief Executive Officer. The role requires exceptional attention to detail, strong judgement, discretion, and a proactive approach. In addition to supporting the CEO, the EA will provide light-touch assistance to three members of the Senior Leadership Team (SLT) and oversee basic office management responsibilities to ensure the smooth day-to-day running of the London office.
This is a fast-paced, high-trust role requiring flexibility, professionalism, and the ability to manage competing priorities with confidence.
Key Responsibilities
CEO & Senior Leadership Support
- Provide comprehensive diary management for the CEO, including scheduling meetings, appointments, and managing complex workflows.
- Coordinate international and domestic travel arrangements, including flights, accommodation, ground transport, visas, and detailed itineraries.
- Prepare, submit, and reconcile expense claims for the CEO and provide support to selected SLT members as required.
- Offer administrative support to three SLT members, including diary coordination, meeting preparation, and ad hoc tasks.
Office Management
- Act as a key point of contact for visitors, clients, and external partners, including meet-and-greet coordination.
- Manage office supplies, including ordering, stock control, and inventory replenishment.
- Liaise with courier services to arrange the timely dispatch and receipt of documents and packages.
- Coordinate with facilities management and external vendors on general office requirements.
- Answer incoming calls and provide office cover when the Office Manager is unavailable.
General Administration
- Prepare correspondence, documents, and presentations as directed by the CEO.
- Maintain confidential records and files, ensuring strict adherence to data privacy and confidentiality standards.
- Support internal meetings, events, workshops, and logistical arrangements as required.
Skills & Experience
- Proven experience supporting C-suite executives or senior leadership teams in a fast-paced, professional environment.
- Outstanding organisational and time-management skills, with the ability to prioritise effectively and manage multiple tasks simultaneously.
- Excellent written and verbal communication skills, with strong interpersonal capabilities.
- High level of discretion, integrity, and professionalism.
- Strong attention to detail and a proactive, solutions-focused mindset.
- Proficient in Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and familiar with common scheduling and expense management systems.
- Experience in basic office management, vendor liaison, and courier coordination.
- Flexible, adaptable, and a collaborative team player.
