Role Summary

The Online & Short Courses Coordinator will coordinate the day-to-day operational planning, coordination, delivery and administration of Vogue College of Fashion’s online and short course portfolio. Working closely with the Head of Online & Short Courses, the postholder will maintain programme schedules and learning platform information. They will also coordinate student communications, teaching materials, faculty administration, learning platform and end-of-course processes to support a professional and high-quality student experience.

The role requires someone who is highly organised, detail-focused and able to coordinate multiple programmes and competing priorities simultaneously. The postholder will act as a central operational point of contact for students, visiting lecturers, course leaders and internal teams, coordinating operational readiness from pre-course preparation through to completion, and escalating strategic, academic or significant student matters to the Head of Online & Short Courses. Some flexibility is required to support course delivery and related events.

The postholder will work closely with the Head of Online & Short Courses, course leaders, visiting lecturers, guest speakers and colleagues across Admissions, Marketing, Registry, Finance, Careers, IT and Facilities.

Key Duties & Responsibilities

  • Programme Coordination and Delivery
    • Coordinate the day-to-day administration and operational delivery of online and short course programmes, ensuring that courses are prepared, appropriately resourced and delivered smoothly.
    • Create and maintain programme schedules, teaching calendars, Zoom arrangements and delivery plans, monitoring deadlines and programme readiness through Monday.com, Canvas and other agreed systems.
    • Liaise with academic colleagues and relevant internal teams (including Admissions, Registry, Finance, Marketing, Careers, IT and Facilities) to coordinate smooth programme delivery, resolve operational requirements and escalate significant risks or student concerns to the Head of Online & Short Courses.
    • Collate information relating to programme income, expenditure and operational performance, and prepare routine updates as required.
    • Check and process invoices related to online and short course delivery and programme expenditure in accordance with college procedures, liaising with the Finance team to resolve queries and / or discrepancies.
    • Identify and recommend improvements to administrative processes, systems, templates and workflows, and implement agreed changes in collaboration with the Head of Online & Short Courses to support efficient delivery and the continued growth of the online and short course portfolio.
  • Student Experience and Communications
    • Manage day-to-day online and short course student queries in a timely and professional manner, escalating complex or sensitive matters where appropriate.
    • Coordinate pre-course communications, welcome packs and course guidance, and maintain student information on Canvas, ensuring that materials are accurate, accessible and issued on time.
    • Maintain clear communication channels on Canvas and ensure students can access the correct teaching and learning materials throughout the course lifecycle, escalating complex technical issues to IT.
    • Maintain accurate and confidential student and course records, monitor attendance and completion, and administer completion packs and certificates.
    • Coordinate student feedback and surveys, collating key themes and actions for review by the Head of Online & Short Courses.
    • Coordinate logistical arrangements for course-related events and activities, including online graduations, open days, student showcases and industry visits, working with relevant teams to arrange rooms, equipment and other delivery requirements.
  • Teaching and Course Materials
    • Act as the primary operational point of contact for course leaders, visiting lecturers, guest faculty and external contributors, coordinating onboarding, delivery arrangements and key information.
    • Coordinate the administrative set-up and launch of new online and short courses and updates to existing courses, including collecting, preparing and uploading approved teaching and learning materials.
    • Maintain accurate course and faculty information and organised records of approved teaching materials and student exemplar work in accordance with agreed retention and permission requirements.
    • Coordinate visiting lecturer and guest faculty administration, including engagement forms, agreed hours, timesheets and payment-related documentation.

Person Specification - Skills, Experience and Qualifications

Essential:

  • Relevant experience in programme, course, student experience or academic administration, preferably within an academic or higher educational setting.
  • Excellent written and verbal communication skills.
  • Strong organisational skills, with the ability to manage competing priorities and deadlines across multiple courses running simultaneously.
  • High attention to detail and confidence in maintaining accurate records, programme schedules and teaching materials.
  • Experience liaising and building effective working relationships with students, academics and / or external contributors and acting as an effective operational point of contact, with the ability to work collaboratively.
  • Strong IT skills and confidence in using and learning digital systems and platforms to support communication, workflows, record-keeping and programme delivery.

Desirable:

  • Experience of working in higher education, short courses, executive education or online learning.
  • Experience supporting creative, fashion, media, cultural or professional education programmes.
  • Experience using Canvas, Zoom, Monday.com or comparable learning / project-management platforms.
  • Experience improving administrative processes, workflows or systems in a busy programme delivery environment.
  • Experience of processing invoices and timesheets for faculty or other external contributors.
