We are looking for a meticulous and customer focused Sales Administrator to join our sales team. You will provide essential administrative support across the full contract lifecycle — from proposals and contract management through pre arrival, arrival preparation, and redelivery activities. This role ensures documentation, approvals, and customer records are managed accurately and efficiently, enabling smooth handovers between departments and timely project delivery. By owning these processes, you will reduce the operational burden on the Sales team, allowing them to focus on revenue generation, customer engagement, and business growth.

  • Proposal & Contract Administration: Manage proposals and contracts across customer tiers; track approvals; ensure signatures and filing are complete; coordinate with Finance on KYC and invoicing.
  • Pre Arrival & Arrival Coordination: Handle GTA, KYC, and Pre Input forms; schedule meetings; liaise with airport authorities; arrange crew logistics (hotels/transportation).
  • Redelivery & Disassembly Projects: Monitor timelines; chase required documentation (questionnaires, Harvest Lists, Work scopes); coordinate with Carpentry and Sales; track contract progress.
  • CRM & Reporting: Maintain customer records and sales pipeline in CRM; communicate customer feedback internally.

Strong communicator with excellent attention to detail. Positive, proactive, and resilient with a ‘can do’ attitude. Honest, respectful, and demonstrates integrity. Collaborative team player. Customer focused, flexible, and responsible in approach. Proven sales administration experience, ideally within aviation. Proficiency in Microsoft Office and CRM systems (e.g., HubSpot), with strong data management. Ability to manage multiple tasks in fast paced environments, prioritising effectively under pressure. Professionalism in handling sensitive customer and financial information. Drive for continuous improvement and personal development.
