Executive Assistant

From £35,000 p.a. DOE

In our 30th year, we continue expanding, and whilst our focus is on Automotive, we have growing ventures into Technologies, and Digital Learning Solutions.

Having recently secured new major clients and embarking on an internal restructure, we are seeking a skilled and strategic Executive Assistant (EA) who can become a key part of this transition providing vital support to our General Manager (GM). This is a full-time role based in Ipswich, UK within our Head Office.

The Role

As Executive Assistant, you will serve as a key strategic partner, ensuring smooth operations and supporting high-level decision-making. You will be responsible for managing executive priorities, handling confidential matters, and representing the GM both internally and externally.

This is not just an administrative role – it requires leadership, initiative, and exceptional emotional intelligence.

Responsibilities

Executive & Strategic Support

  • Act as a trusted advisor and gatekeeper, ensuring executive priorities align with business objectives.
  • Manage information flow across the business, ensuring executives are briefed on key issues.
  • Attend meetings, take actionable notes, and ensure follow-ups are completed.
  • Make informed decisions where appropriate.

Operations & Project Management

  • Oversee GM’s task management, ensuring priorities are met and deadlines maintained.
  • Track and manage high-level business projects, ensuring efficiency and progress.
  • Conduct research and data analysis to support executive decision-making.

Communications & Stakeholder Engagement

  • Serve as a primary liaison between internal teams, board members, and external stakeholders.
  • Draft and edit reports, presentations, and correspondence in the GM’s voice.
  • Represent the GM when necessary.

Diary & Travel Management

  • Prioritise and coordinate the GM’s schedule, ensuring optimal time management.
  • Organise travel itineraries both domestic and international.
  • Administer and process the GM’s expenses.

Qualities, Skills & Experience

  • Minimum 3 years’ experience in a similar Executive Assistant role.
  • Relevant degree or professional qualification (preferred but not essential).
  • Fluent English (C2 level) – impeccable written and verbal skills.
  • Second language (desirable but not required) – German highly desirable.
  • Full clean driving license & valid passport.
  • Willingness to travel within the UK and internationally as needed.
  • Advanced MS Office skills – ability to create high-quality reports & presentations.

Salary and Benefits

  • From £35,000 p.a. D.O.E
  • Nine-day working fortnight (every other Friday off).
  • 20 days holiday, plus Bank Holidays – increasing by one day every year (after two years employment) up to 25 days total.

Schedule

  • 08:00 – 17:15, Monday to Friday (with every other Friday off)
