We are looking for a Facilities and Fleet Manager to manage company facilities and ensure optimal functioning of facilities on a daily basis. Responsibilities include:
- Overseeing Fleet and Security to ensure optimal operational efficiency, cost-effectiveness, and compliance with safety regulations.
- Planning and coordinating all installations and refurbishments.
- Managing the upkeep of equipment and supplies to meet health and safety standards.
- Inspecting buildings and structures to determine the need for repairs or renovations.
- Preserving the good condition of infrastructure and ensuring that facilities are safe and well-functioning.
- Reviewing utilities consumption and striving to minimize costs.
- Controlling activities like waste disposal and building security.
- Allocating office space according to business needs and managing office relocations.
- Handling insurance plans and service contracts.
- Managing Service Level Agreements with service providers: Fleet, Security, Insurance, etc.
- Advising the business on measures to improve the efficiency and cost-effectiveness of the facility.
- Supervising teams including external contractors.
- Ensuring that basic facilities are well-maintained and conducting proactive maintenance.
- Dealing with emergencies as they arise.
- Ensuring that facilities meet compliance standards and government regulations.
- Planning for the future by forecasting the facility’s upcoming needs and requirements.
- Ensuring employee and facility safety.
- Drafting maintenance reports.
- Managing Facilities Security clearance process.
- Ensuring achievement of all non-financial KPIs in area of responsibility.
Fleet Management responsibilities include:
- Optimal management of the Service Level Agreement with the Fleet Service Provider.
- Managing vehicle acquisition, disposal, and lifecycle.
- Scheduling and overseeing routine vehicle maintenance.
- Monitoring driver performance and safety compliance.
- Optimizing fuel consumption and costs.
- Analyzing fleet data to identify trends and cost-saving opportunities.
- Budgeting and cost control for fleet operations.
- Dispatching vehicles and managing routes.
Security Management responsibilities include:
- Engaging with Landlord on security matters.
- Engaging with park security on incidents and trends.
- Analyzing building security for possible compromises and recommending improvements.
- Drafting security reports.
- Managing and monitoring security alarms system.
- Managing and monitoring access control system.
- Managing and monitoring CCTV system.
Relevant tertiary qualification (i.e. Transport management, Logistics or related field) is required. Project Management qualification and training is highly advantageous, as well as management and leadership development programme.
