Job Description
The purpose of the role is to provide administrative support to the Land Rights Team and provide guidance to the wider company on legal access requirements & process throughout the whole award to adoption of our assets. This will involve with internal and external clients and legal service providers to deliver a smooth legal process. T
The role holder should be someone with their own initiative who enjoys being a valuable member of a small team supporting each other with tasks and processes across the business.
Main responsibilities will include:
- Requesting purchase orders and liaising with the Finance Team
- Liaising with clients to open a file (requesting instruction forms & CADs)
- Instructing solicitors, legal facilitators, and legal plan providers
- Preparing template documents
- Ordering searches and documents from the Land Registry
- Check road adoption status
- Reviewing design submissions and deciding whether land rights need to be secured
- Liaison with landowners’ legal team and our own contracted solicitors
- Keeping project management tool updated
- Liaising with internal departments to resolve queries
- Proactively chasing relevant parties to property transactions
- Support stage and gate processes by providing adequate information where necessary to form part of the evidence packs for each process and informing stakeholders of any issues / escalations in the process
- Support pre award kick off meetings by confirming land rights / legal requirements
- Liaise with and monitor costs of legal facilitators and solicitors by project and programme of works
- Manage team mailbox and respond to enquiries and chase correspondence between all parties and provide regular updates as required by all
- Support data management for internal and external reporting
- Arranging engrossments and signatures
- Managing caseload of projects
- Providing exceptional client service through regular communication by phone and email
- Assisting with general administrative tasks, such as filing, scanning, and managing incoming and outgoing post

Essential:
- Knowledge and experience of the following
- Conveyancing process
- Land Registry
- Deed of Easement
- Lease and sublease
- Wayleave
- Transfers
- General computer literacy with the ability to use Microsoft Office applications and tools and document filing systems
- Comfortable in using oral and written communications media to interface with suppliers, customers, clients and general public enquiries
Desirable:
- Experience of legal conveyancing in the utility sector
- Ability to prioritise work activity to deliver business requirements
- Work flexibly either under supervision or on own initiative as required
