The Transport Controller & Admin is responsible for providing administrative support to the transportation department. This role involves handling scheduling, documentation, communication with drivers and customers, and ensuring compliance with regulatory and company standards. The ideal candidate will have strong organizational skills, attention to detail, and the ability to multitask in a dynamic environment.
Hours of Work: Monday to Friday: 14:00-22:30, pay rate of £13.70 per hour.
Responsibilities- Scheduling and Coordination: Assist in developing and managing transport schedules. Coordinate with drivers and logistics teams to ensure timely deliveries and pickups. Adjust schedules as needed to accommodate changes in demand or unforeseen issues.
- Documentation and Record Keeping: Maintain accurate records of transport activities, including delivery logs, maintenance records, and driver hours. Ensure proper documentation for all shipments, including bills of laden, delivery notes, and customs paperwork. Update and manage transport management software and databases.
- Communication: Act as the point of contact for drivers, providing them with schedules, instructions, and support. Communicate with customers regarding delivery schedules, delays, and other transport-related information. Liaise with other departments to coordinate logistics and resolve any issues.
- Compliance and Safety: Ensure all transport activities comply with legal requirements and company policies. Maintain records of vehicle maintenance and driver compliance with hours-of-service regulations. Assist with safety audits and implement corrective actions as needed.
- Customer Service: Handle transport-related customer inquiries and issues professionally and promptly. Resolve any transport-related complaints or problems effectively and efficiently. Ensure high levels of customer satisfaction through timely and accurate deliveries.
- Administrative Support: Handle purchase orders and invoices. Support the transport team with any administrative needs. Ensure customer POD are managed correctly and in line with Customer KPI.
- Proven working experience in transport operation.
- Proficiency in transport systems.
- Familiarity with modern transport practices and methods.
- Good organisational and time management skills.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Must be proficient in the use of MS Office and other specified software.
- Minimum of 2 years of experience in an administrative role, preferably in a transportation or logistics environment.
- Excellent Client communications skills with the ability to present information clearly.
- Qualified to GCSE level in English and Maths (Or Equivalent).
- High level of honesty and integrity.
You will from time to time be required to undertake other duties of a similar nature as reasonably required by your line manager.
