Our client, one of the world's leading secondary investors, is currently looking for a Team Assistant to support two Partners: the Co-COO & Head of Strategy, and the Head of Corporate Affairs & Marketing, within the office of the Founder and Managing Partner. Founded in 1990, the firm's offices are located in Central London. You will play a key role in managing their business activities and will need strong organisational skills to optimise their time. You will be a key member of the team, ensuring that internal and external business priorities are met efficiently. We are looking for someone who stands out. Applications are welcome from individuals who have experience supporting high-level executives and understand the complexities involved, including frequent last-minute changes to travel arrangements and handling various organisational tasks, occasionally outside of normal working hours. The working environment is fast-paced and intensive, involving extensive interaction with major stakeholders, Board Members and other Partners.
Responsibilities:
- Efficiently manage the two Partners’ calendars: scheduling meetings, appointments, and travel arrangements across numerous time zones.
- Handle email and phone communications, acting as the first point of contact for internal and external stakeholders.
- Prepare materials for meetings.
- Serve as a gatekeeper, managing access to the two Partners and prioritising requests and enquiries.
- Where appropriate, interact with investors, senior executives, Board members, Partners, and wider staff.
- Manage complex and changing diary and travel arrangements and prepare expense and credit card reports.
- Handle confidential matters with professionalism and discretion.
- Manage requests and enquiries autonomously and think independently and creatively to improve processes.
Requirements:
- Previous experience providing administrative support to senior executives within the PE/Finance sector is highly advantageous.
- Strong Microsoft Office skills, including Word, Outlook, and PowerPoint; some exposure to Excel.
- Excellent organisational skills, with strong attention to detail.
- Efficient and able to prioritise effectively.
- Taking responsibility for tasks to completion.
- Excellent written and oral communication skills.
- Professional, proactive and resilient.
- Advanced MS Office skills and strong communication abilities.
