About the Role
ECB STAR is seeking an Executive Assistant to provide top-notch support to a seasoned Partner and other senior members of our Operations Team. This role is crucial for ensuring smooth daily operations, managing key priorities, and serving as a vital link across the firm. We seek a proactive, highly organized professional who excels in a dynamic, results-driven environment and can juggle multiple priorities effortlessly. This position demands flexibility, adaptability, and a willingness to support all facets of the Partner's needs, blending professional and personal responsibilities seamlessly. In addition to executive support, this role involves close collaboration with the Executive Assistant team. Together, this team plans and executes the firm’s largest events, coordinates calendars, and fosters a high-performing, engaged office culture. They also proactively identify opportunities to enhance firm operations, streamline processes, and ensure efficient operations. This is a full-time role based in London. ECB STAR values a strong firm culture with in-office work Monday-Thursday and Flexible Fridays.
Responsibilities
- Strategic Calendar Mastery: Own the Partner's complex calendar, proactively optimizing daily, weekly, and monthly schedules. Juggle competing priorities, resolve conflicts, and ensure seamless alignment with business goals.
- Meeting Excellence: Prepare agendas, compile briefing materials, and capture actionable insights through detailed note-taking. Coordinate logistics, tech setup, and presentations for high-impact internal and external meetings.
- Communication Hub: Serve as the Partner's first line of communication, triaging emails, drafting responses, and ensuring clarity and timeliness. Build trust with internal teams and external stakeholders through polished, professional interactions.
- Travel Orchestration: Plan and execute domestic and international travel, including flights, accommodations, visas, and detailed itineraries. Manage expense reporting with precision and efficiency.
- Document & Data Stewardship: Create, refine, and organize confidential documents, technical reports, and presentations. Maintain secure, accessible systems for critical files and records.
- Project & Event Support: Take on special projects, from offsites to boardroom lunches, with creativity and precision. Support ad hoc needs, from sourcing tools to coordinating cross-functional initiatives.

- Experience: 2+ years as an Executive Assistant, either in a corporate or high-growth environment.
