Position Summary: The Transfers Manager plays a crucial role in supporting the operations team through the preparation, delivery, and ongoing monitoring of the summer school airport transfer programme. Under the guidance of the UK Operations Management Team, you will oversee the summer school transfer delivery and manage the transfer team. The role demands excellent organisational skills, attention to detail, confidence with decision making, and the ability to work efficiently in a fast-paced and dynamic environment.
Key Responsibilities:
- To supervise and co-ordinate the planning and implementation of the summer school airport transfer programme
- To manage the transfer representative team, with the support of the Airport Manager and Taxi Transfer Coordinator
- To ensure that all coach and taxi company records are kept fully up to date
- To deliver transfers to budget
- To book all arrival and departure transfer coaches
- To communicate closely with other internal departments to ensure that all required data is present
- To keep accurate records of transfer bookings for operational and invoicing purposes
- To create and deliver transfer training for both transfer and centre staff
- To supervise in person on arrival days as necessary
- To be on the Transfer Emergency phone rota during the transfer delivery period
- To maintain positive relationships with transfer providers
- To ensure that transfers are delivered to a standard that matches or exceeds expectations
- To look for areas of potential improvement in the summer school airport transfer programme
- To adhere to the EC Young Learners Code of Conduct, as well as all local policies and procedures related to academics, welfare, and safeguarding.
Knowledge/Skills:
- Organisation & Time Management: Efficiently prioritise tasks and meet deadlines in a fast-paced environment.
- Communication: Strong written and verbal skills for liaising with teams and external partners.
- Attention to Detail: Ensure accuracy in reports, invoices, and booking details.
- Logistics & Resource Management: Coordinate bookings and manage transfers across all UK centres.
- Technical Skills: Proficient in Microsoft Office, especially Excel.
- Problem-Solving: Identify and resolve operational challenges promptly.
- Customer Focus: Deliver exceptional service to students, group leaders and client representatives.
- Team management: Foster a supportive and inclusive work environment, whilst ensuring all required training and information is provided.
Job-Specific Competencies:
- Operational Support: Ensure the operations department receives the correct transfer information.
- Provider Management: Liaise with transport providers and ensure product delivery to required standard.
- Team Collaboration: Work closely with Programme Managers and staff to support the summer school airport transfer programme.
- Invoice Management: Assist with transport invoices as required.
