Could you be the person we’re looking for?

We are looking for a highly organised and proactive Operations Administrator to join our team. This is a varied and fast-paced role supporting our operational teams by ensuring the smooth coordination of procurement, supplier management, and general administration.

Working closely with Directors, Senior Project Delivery Managers, Site Managers, Finance, Commercial, and suppliers, you will play a key role in ensuring projects receive the right plant, equipment, materials, welfare facilities, PPE, and accommodation on time and within budget.

What we need from you…

  • Source and procure plant, welfare facilities, transport, PPE, training, accommodation, and materials in line with the company's three-quote procurement process.
  • Build and maintain strong relationships with existing and new suppliers, negotiating competitive rates where appropriate.
  • Raise purchase orders and ensure supplier invoices are accurate and approved.
  • Resolve supplier invoice queries and disputes through the agreed escalation process.
  • Coordinate deliveries and bookings to ensure projects remain on schedule.
  • Manage global accommodation bookings within agreed project budgets.
  • Order and maintain employee PPE records.
  • Update and maintain supplier databases, pricing schedules, loss and damage records, and job order summaries.
  • Process employee expense receipts in accordance with company policy.
  • Support the Commercial team with supplier quotations for tender submissions.
  • Assist with administration across the Operations team, including holiday and sickness cover where required.
  • Create and maintain project folders, site files, and electronic documentation.
  • Log plant and equipment within company asset management systems and organise testing, inspections, and certification.
  • Attend Operations meetings, prepare agendas, take minutes, and distribute meeting notes.
  • Carry out general office administration including printing, laminating, filing, and document management.
  • Occasionally visit operational sites to maintain knowledge of plant and equipment.
  • Provide ad hoc administrative support as required to meet business needs, including providing telephone cover during periods of annual leave.

It is essential that you have…

  • Previous experience in an office or administrative role (minimum one year).
  • Excellent organisational and time management skills.
  • Strong attention to detail and accuracy.
  • Confident communicator with excellent written and verbal communication skills.
  • Good telephone manner and customer service skills.
  • Strong IT skills, including Microsoft Office and Windows.
  • Ability to prioritise workloads and work independently as well as part of a team.
  • A proactive, flexible, and positive approach to work.

It would be desirable if you have…

  • Level 1 or Level 2 qualification in Business Administration.
  • Level 1 or Level 2 qualification in Customer Service.
  • Experience using Xero accounting software.
  • Experience in procurement, logistics, construction, engineering, or project support environments.
