Purpose of Job
The Analyst, Corporate Events and Annual Meetings is responsible for the scoping, project management and delivery of all Board related meetings, internal and external retreats, conferences, cultural events and awards ceremonies hosted at the Bank’s HQ, assigned event streams at Annual Meetings and regional fora.
The role is also responsible for training and supervising temporary staff resources engaged in internal and external events.
The role involves interaction externally with ministries, embassies, other IFIs, chambers of commerce and investment promotion agencies, venues and suppliers.
Internally, the role liaises with the Board of Directors, Executive Committee and Senior Management across EBRD departments including Banking, Resident Offices, Communications, Business Development, Corporate Strategy, PODD, Business Development, Corporate Services, IT and other departments as required.
Background
The Analyst, Corporate Events and Annual Meetings role is based in the Office of the Secretary General (OSG).
OSG acts as secretariat to the EBRD Board of Governors and Board of Directors and their committees and as the official channel of communication between the EBRD and its shareholders.
It is responsible for the organisation of the Annual Meeting of the Board of Governors, all meetings of the Board of Directors, other large events organised under the auspices of the EBRD and all protocol matters involving VIPs from shareholder governments.
The Analyst is accountable for scoping and all organisational aspects of assigned corporate events and communicates effectively with stakeholders at all levels.
The Analyst demonstrates expertise and provides guidance for all Bank events that require a virtual or hybrid solution, engaging with senior bank staff, AV and broadcast, IT and event production counterparts as necessary.
In consultation with the Associate Director, AMPEM, the role is also responsible for the implementation of assigned Board of Governors sessions and institutional events at the Annual Meeting, panel discussions and investment outlook sessions and other events such as the Annual Donor Meeting and CSO programme.
This workstream involves close collaboration and coordination with the Principal, Annual Meeting Event Management, Board and Institutional Affairs and other internal stakeholders.
- Accountabilities & Responsibilities
- Corporate Events
- Manages scheduling of events held in high priority event spaces in sync with all Board activities
- Takes ownership of the planning and delivery of Board and Committee meetings and engages with Board and Institutional Affairs on process improvements for efficient and streamlined project management of this key workstream
- Provides expert guidance and scoping, and responsible for organisational and logistical aspects of corporate events (virtual, hybrid or in-person) according to the Bank’s policies and protocol
- Provides end-to-end management and delivery of high priority events at the Bank’s HQ (high-level shareholder events, signing ceremonies, cultural events, exhibitions and conferences)
- Maintains collaborative relationships, negotiates for best outcomes and instils a sense of trust with key stakeholders - ensuring smooth and efficient information flow
- Sets up and manages virtual/hybrid meetings and events with confidence
- Research and negotiation with external venues for Board and top management retreats, planning and delivery of special events chaired or hosted by the President
- Budget management of corporate and Board sessions with efficiency and seeking best value
- Liaises with and advises event technicians in relation to assets and event running orders
- Recruiting, training and supervising meeting room attendants and short term events staff joining AMPEM for the Annual Meeting delivery.
Provide feedback and learning opportunities for these short-term colleagues.

Under guidance of the Associate Director, AMPEM and working alongside the Principal, Annual Meeting Event Management:
- Act as a key counterpart in the development of Board of Governors and Institutional sessions at Annual Meetings
- Prepare detailed guidance for the Board of Governors enabling their full participation at the Annual Meeting
- Lead the scoping, planning and delivery from initial programme and concept development through to scripts, running orders, technical requirements and on-site delivery oversight of assigned Annual Meeting workstreams, to include Annual Donor Meetings, CSO programme, panel discussions and investment outlook sessions
- Contribute to the training programme and on-site supervision of temporary Annual Meeting support staff
- Collate, analyse and report on event data
- Regional Fora (joint responsibility)
- Identify external venues for Regional Fora events, working closely with the authorities and EBRD RO
- Facilitate venue utilisation and programme structure for all events
- Manage the preparation and delivery of the event, including all associated procurement processes, interpretation, budget, shipping, catering, conference technology and event room branding
- Contract negotiation with, and management of, third party suppliers
- Post-event evaluation (including budget reconciliation, statistics, analysis and post-event reports for stakeholders)
- Knowledge, Skills, Experience & Qualifications
- University degree in Event Management, Public Relations or Marketing;
- At least five years of professional experience in organising large scale international events (preferably encompassing governmental as well as private sector dimensions)
- Good knowledge of International Financial Institutions preferred;
- Strong project management and budgeting skills;
- Computer literacy including knowledge of virtual event tools, MS365 and in particular Excel and graphics package, Visio or similar
- Extensive knowledge of conference technology including virtual and hybrid event platforms;
- Experience with interpretation solutions and implementation of remote simultaneous interpretation platforms;
- Excellent analytical and logical problem solving skills;
- Excellent organisational skills, accuracy and attention to detail
- Excellent interpersonal skills;
- Good understanding of the EBRD mandate;
Excellent communication skills in English, written and spoken. Knowledge of other official languages of the EBRD is an advantage.
