Role Summary

To provide professional and efficient administrative support to the Home Manager and wider care home team, contributing to the effective day-to-day operation of the service.

The role supports communication, documentation, stakeholder engagement and organisational processes while promoting a welcoming, professional and person-centred environment for residents, families, colleagues and visitors.

The role may involve interaction with residents living with dementia, mental health conditions, behavioural support needs or complex care requirements depending on the service environment.

About The Role

Key Responsibilities

  • Service Delivery & Stakeholder Experience
  • Provide a professional and welcoming front-of-house experience for residents, families, visitors and external professionals.
  • Manage incoming telephone, email and written enquiries professionally and efficiently.
  • Support the preparation, distribution and maintenance of correspondence, records and documentation.
  • Support resident, family and stakeholder communication in a professional and confidential manner.
  • Assist with the coordination and organisation of meetings, visitor arrangements and administrative schedules.
  • Support the effective day-to-day operation of the home through efficient administrative processes and systems.
  • Communication & Collaborative Working
  • Work collaboratively with care, nursing, catering, housekeeping and wider organisational teams.
  • Provide administrative support to management, HR, finance and operational functions where required.
  • Prepare meeting agendas, minutes and associated documentation as requested.
  • Maintain effective communication with colleagues, external agencies and stakeholders.
  • Contribute positively to a collaborative, supportive and professional working environment.

  • Maintain confidentiality and ensure compliance with GDPR, data protection and organisational policies.
  • Support accurate record keeping and documentation in line with regulatory and operational requirements.

  • Support compliance with relevant RQIA and organisational standards.
  • Maintain a safe, organised and professional working environment.
  • Comply with organisational health and safety, safeguarding and emergency procedures.

Essential Criteria

Qualifications & Registration

  • GCSE Grade C or above in English and Maths (or equivalent qualification); OR demonstrable literacy, numeracy and communication skills appropriate to the role.
  • Demonstrable literacy, numeracy and administrative capability gained through relevant work experience.
  • Experience within an administrative, customer service or office-based role.
  • Ability to provide a professional, responsive and welcoming service to residents, families, visitors and external stakeholders.
  • Ability to manage multiple administrative tasks and priorities within a fast-paced environment while maintaining accuracy and professionalism.
  • Strong communication and interpersonal skills with the ability to engage professionally with residents, families, visitors and colleagues.

Confidence and resilience to respond appropriately to challenging situations and seek guidance or support where required.

Understanding of confidentiality, GDPR, safeguarding and professional boundaries.

  • Good organisational and administrative skills with the ability to maintain accurate records and documentation.

Desirable Criteria

  • Relevant qualification in Business Administration, Customer Service or a related field.
  • Experience working within a healthcare, care or regulated environment.
  • Experience supporting administrative processes within a healthcare, care or regulated service environment.
  • Experience communicating with external stakeholders and multidisciplinary teams.
  • Awareness of healthcare governance and RQIA requirements.
  • Experience using Microsoft Office applications including Word, Outlook and Excel
