Job Title: Ocean Freight Documentation Administrator Location: Basildon Hours: Monday – Friday, 09:00 – 17:30 Ocean Freight Experience required Salary: £31,000 pa We are currently recruiting on behalf of a well-established and growing logistics client for an experienced Ocean Freight Documentation Administrator to join their export team. This is an excellent opportunity for a detail-oriented and organised individual with experience in freight forwarding or international shipping, particularly ocean exports. Role Overview: The successful candidate will be responsible for preparing, processing, and verifying export documentation to ensure full compliance with shipping lines, clients, overseas partners, and regulatory bodies. You’ll act as a key point of coordination between stakeholders to ensure a smooth and efficient export process from start to finish. Key Responsibilities: Create and manage export documentation in line with client and carrier requirements. Coordinate with shipping lines, overseas partners, customs brokers, and internal teams. Monitor and update shipment progress to all relevant stakeholders. Maintain accurate records of all documentation and communication using internal systems (e.g., Boxtop or similar). Send pre-advice to overseas partners in a timely manner. Provide support to colleagues during holidays or staff absences. Key Performance Indicators: Respond promptly and professionally to client, partner, and colleague requests. Ensure all shipment deadlines are met with no avoidable delays. Maintain proactive communication to prevent information gaps or complaints. Keep documentation fully up to date and organised. Uphold high operational and compliance standards. Person Specification: Strong communication skills – both verbal and written. A positive, proactive attitude and willingness to support others. High level of attention to detail and accuracy. Well-organised with the ability to prioritise effectively. Competent in Microsoft Office packages (Excel, Word, Outlook). Self-motivated and capable of working independently or as part of a team. Excellent timekeeping and reliability. Experience in freight forwarding/export operations is highly desirable.
