Overview
Lead the day‑to‑day operations for our premises and facilities, which support our people, tenants and members to access quality services. You’ll manage frontline customer experience, plan maintenance programmes, control budgets and ensure our premises actively support the organisation’s objectives, commitment to sustainability and reputation. Strong organisational skills are essential to manage priorities, solve problems proactively, keep everyone informed and maintain effective systems.
Key responsibilities
- Take ownership for coordination of premises and front‑of‑house services, ensuring welcoming, safe, well‑run and reliable spaces for colleagues, tenants and visitors.
- Provide clarity and structure for reception, cleaning and maintenance teams to deliver a consistently high‑quality service.
- Set direction for rotas, activity, service coordination and scheduling; provide clear leadership.
- Oversee facilities operations, maintenance activity, supplier contracts and Health & Safety compliance.
- Work closely with internal colleagues, contractors and external bodies to ensure buildings are compliant, well‑maintained and operate smoothly.
- Communicate regularly to keep people appropriately informed.
Key areas of responsibility
- Leadership and service delivery: day‑to‑day line management for reception, maintenance and cleaning; plan rotas and schedules to ensure consistent service levels.
- Facilities and maintenance projects: plan and oversee preventative and reactive maintenance within agreed budgets; coordinate refurbishments, building projects and dilapidation works; conduct inspections to resolve issues efficiently.
- Communication and development: operational lead for premises‑related communications; act as key contact for tenants, hold review meetings, manage meeting room and workspace bookings, further develop the virtual office service, and collaborate with IT, HR and ESG teams.
- Compliance and Health and Safety: manage supplier contracts, renewals and performance; maintain accurate contract and asset registers; lead on Health & Safety across all sites; ensure statutory inspections, documentation and ISO audit requirements are met.
- Budgets: support and monitor premises budgets across multiple sites; track facilities invoicing and chases; ensure value for money and accurate forecasting.
Applicants will possess
- Demonstrable experience managing premises, facilities services or operational teams.
- Strong operational and project management experience.
- Experience of rota planning, scheduling and maintenance coordination.
- Confidence working with suppliers, contracts and service agreements.
- Excellent organisational, communication and administrative skills.
- Strong IT skills, including Microsoft Office and cloud‑based systems.
- A proactive, resilient approach with the ability to work independently and as part of a team.
- Full UK driving licence, access to own transport and willingness to travel.
- Flexibility to provide out‑of‑hours emergency cover on a rota basis.
