Job overview
The post holder will be based within the Trust Safeguarding Team. The role will provide administrative support to the Safeguarding Team. This will include answering the duty phone and taking messages, inputting data onto SharePoint and the Safeguarding Team dashboard, arranging and minuting of multi-agency meetings and providing updates by inputting and extracting data onto electronic patient records in regard to safeguarding. The role will be supported by the Business Support Manager within the team.
Main duties of the job
To support the Safeguarding Team in answering duty calls and taking messages for the duty Safeguarding Practitioner.
To support in the administrative process of Deprivation of Liberty Safeguards (DoLS).
To support in the organisation of Safeguarding Training, Safeguarding Supervision and Safeguarding Champion events.
Assist in the maintenance of the Safeguarding Team dashboard, including inputting training data, number of referrals and safeguarding activity.
To support in the formatting of Safeguarding Policies and Procedures.
Providing updates by inputting and extracting data and any other necessary amendments to electronic patient records in regard to safeguarding.
To support in the arrangement of multi-agency meetings, including invites, room bookings and to take and produce minutes/notes of meetings/agendas as required by the Safeguarding Team in a timely manner.
To assist with the child death notification process by maintaining records and information sharing with safeguarding practitioners. To support the safeguarding practitioners and wider MDT in following child death procedures, including arranging child death review meetings, taking minutes and compiling health information as requested.
To support and deputise as required for the Business Support Manager in the management of the business administration within the team, including arrangements and minuting of the Safeguarding Committee.

Detailed job description and main responsibilities
To support the Safeguarding Team in answering duty calls and taking messages for the duty Safeguarding Practitioner.
To support in the administrative process of Deprivation of Liberty Safeguards (DoLS) by recording the applications on the Safeguarding Team SharePoint database and emailing a copy of the DoLS to the relevant Local Authority.
To support in the organisation of Safeguarding Training, Safeguarding Supervision and Safeguarding Champion events, including organising room bookings, inputting of registers, inputting of evaluation forms data and photocopying of any training resources.
Assist in the maintenance of the Safeguarding Team dashboard, including inputting training data, number of referrals and safeguarding activity.
To support in the formatting of Safeguarding Policies and Procedures.
Providing updates by inputting and extracting data and any other necessary amendments to electronic patient records in regard to safeguarding.
To support in the arrangement of multi-agency meetings, including invites, room bookings and to take and produce minutes/notes of meetings/agendas as required by the Safeguarding Team in a timely manner.

Experience
- Previous administration experience.
- Experience of taking notes/minutes at meetings.
- Experience of dealing with anxious and emotional callers.
- Previous experience of data inputting over an extensive period.
Knowledge
- Able to present relevant information in a concise format.
- Able to engage effectively in dialogue with individuals at all levels.
- Ability to produce accurate documentation.
- IT literate
- Proven ability to work on own initiative without close supervision, whilst working as part of an integrated team.
