Overview
RECRUITMENT & ONBOARDING SUPPORT: To provide administrative support for the recruitment and onboarding process, including preparing and advertising vacancies, managing candidate communications, coordinating interview schedules, and supporting managers and panels with recruitment activities as required.
Responsibilities
- Preparing and advertising job vacancies on Applicant Tracking Systems (such as NHS Jobs) and internal systems.
- Managing candidate communications, including interview invites.
- Coordinating interview schedules and venues, including virtual arrangements.
- Supporting managers and panels with recruitment activities as required.
- Assisting with pre-employment checks, including eligibility to work in the UK and Disclosure and Barring Service (DBS) checks.
- Maintaining accurate recruitment records and ensuring timely input into ESR and other relevant systems.
- Supporting administration of international recruitment under Recruitment Lead and/or People and HR Business Partner guidance.
- Attending recruitment events or job fairs, as required.
- Assisting with the onboarding process for new starters, ensuring all required documentation is received and processed accurately and timely.
- Preparing and issuing statements of terms and conditions, contracts, and induction information within required timeframes.
- Coordinating with relevant teams (Training, Systems and Processing team, ICT) to ensure new starters have access to systems, equipment, and mandatory training.
- Responding to new starter queries regarding documentation, start dates, and induction arrangements, signposting to HR or Recruitment colleagues as needed.
- Monitor the HR Admin inbox, resolving routine queries and escalating/triaging matters/inquiries to appropriate team members where appropriate.
HR Administration Support
- Maintain and update employee records, ensuring accuracy and confidentiality.
- Assist with onboarding new starters, including preparation of contracts and statements of terms and conditions.
- Provide general HR information and first-line guidance to managers and staff, signposting to senior HR colleagues as needed.
General Administration
- Maintain filing systems and databases in line with data protection regulations.
- Support colleagues across the Quality and People team with administrative tasks as required.
- Ensure compliance with audit requirements for HR and recruitment activities.
Additional Responsibilities
- Ensure accurate data entry and maintain confidentiality in all transactions.
- Work collaboratively as part of the wider Quality and People team.
- Comply with ECCHs HR policies and procedures.
- Undertake any other duties commensurate with the role and grade, as required.
