The role is responsible for the processing, quality checking, tracking and reporting for Offshore project documentation. The role is critical to the efficient and effective running of the project. Another main responsibility is the provision and receipt of data and communications to/from contractors and for the reporting of progress to project managers. The job holder will be responsible for supporting the document management function that has direct influence on project budget, time and quality requirements in order that the key shareholders and stakeholders expectations are met.
Principal Accountabilities
- To work within the Document Management function for Offshore projects.
- Assist Project Managers & Teams to support document workflow requirements and methods.
- To execute the function task of ensuring traceability for all documentation during all phases of the project, including handover and operations.
- To be complicit in the implementation and continual adherence of the company’s document control procedures and processes.
- Ensure accuracy in storage and ease of retrieval of all project documentation.
- To support the document control manager in the development of routines and implementation of improvements for all technical and administrative documentation.
- Execute document management verifications towards contractors.
- To support all project members with adequate information, training and assistance regarding DM routines and applications.
- Monitor incoming documents and drawings, and distribute as appropriate in accordance to a project distribution matrix.
- Ensure closure of all document management processes at project end, including the expediting of close out reports, giving an overview of all documentation produced in the project.
Knowledge and Skills
Essential:
- Relevant experience in a document controller role (3 to 5 years).
- A good understanding of document management processes and practices.
- Previous experience working in large multidiscipline engineering projects within a document control function.
- Experience of document management EDMS systems, utilised within a project team.
- Strong general computing skills especially MS office, including Outlook; Word; Excel; PowerPoint and Access & MS SharePoint.
- Competent, responsible and innovative.
- Systematic, proactive and service minded.
- Team player and motivated.
- Proven experience working under pressure and meeting deadlines.
- Strong communication, report writing and presentation skills.
- Enthusiastic about learning and pushing technical limits and finding new solutions.
- Capable of maintaining positive working relationships while adhering to demanding deadlines.
- Track record of adhering to document management procedures.
- Excellent attention to detail.
- Ability to work across differing projects and work streams simultaneously.
Desirable:
- Qualification in document management.
- Comfortable in the execution of training for the use of EDMS systems.
- Experience of the renewables sector within a document management function.
- Knowledge of engineering and construction documentation lifecycles and workflows.
