This is a vital role in our company: Essentially this is a Chief of Staff role to support the Directors by managing projects, overseeing teams, and ensuring the efficiency of exhibition and business operations. This role is crucial for aligning team efforts and strategic initiatives at Eames Fine Art.
THE ROLE WITHIN THE COMPANY
Eames Fine Art host events for their collectors once or twice each week. From private views, art fairs, artist talks, wine tastings, auction parties, charity events, and many other exciting and challenging projects. Pivoting between the team managers and directors, this role will be at the centre of making all of these happen smoothly. It is exciting to work with the many people involved in each of these – from the artists, speakers and writers, musicians and the people working behind the scenes to catalogue, frame, curate, hang, present and sell the exhibitions.
The principal responsibilities include
Driving efficiency : Managing calendars and schedules across all areas of the business from early planning stages to post-sale fulfilment. This will include working with other members of the Eames team in planning deliveries of artworks from artists, booking in framing with third party framers, managing in-house framing capacity, deliveries and managing exhibition timetables.
Communicating : Handling internal and external communications between directors, sales teams and studio staff as well as with suppliers and artists.
Supporting : Providing administrative and strategic support to the directors, assisting them with some of their current responsibilities including the business management, marketing, finance management, human resources, database management and general running of the galleries and studio.
Managing : Overseeing operations, projects, and resources to ensure that each team is working efficiently and productively. Delegating responsibilities when necessary to ensure that all jobs are covered, and that busy teams are supported.
Planning : Managing the preparation for meetings, special events, art fairs and exhibitions.
Problem-solving and advising : Resolving problems and anticipating challenges; providing strategic counsel and insights for improvements to the running of schedules and processes.
Administration and writing: Assisting directors and managers with event applications, website design, proposals, client relations, marketing, and other writing and organisational projects.
Venue management: Ensuring the smooth running of the Eames venues – from liaising with contractors, managing utilities contracts, to managing support staff and ensuring facilities and equipment work and supplies don’t run out. Taking pride in the presentation of each space always looking it’s best and being always ready for clients.
THE CANDIDATE
We are looking for someone with experience in a similar role. In particular, we are looking for someone who has managed a team and a calendar of events and schedules, reporting directly to the director or directors of a company. It is not essential to have experience within the art world, but a keen interest in fine art is very important.
We are looking for a candidate with great energy and a passion for supporting a fast-moving, busy company: someone who enjoys a challenge and looks for innovative or creative ways to make things work better. We hope to meet someone who believes in the ethos of our company – sees the potential of each event we host and looks for the commercially viable, but also interesting and passionate way to express what we do.
This role calls for someone who is meticulously good at planning and managing different lists and schedules; someone who enjoys making the customer’s experience as excellent as possible and can manage a small team of people with diplomacy and potency.
The candidate should have a good eye for detail with an idealist’s desire for each piece of work, and each exhibition or display to be delivered with pride and brilliance.
