Health & Safety Administrator – Planning & Scheduling Location – Hayes Salary - Competitive My client is looking for a highly organised and proactive Health & Safety Administrator to support their operational team with health and safety administration, work planning, and scheduling. This is a varied, hands-on administrative role suited to someone with excellent organisational skills, strong attention to detail, and the ability to manage multiple priorities in a busy working environment. Working closely with operational managers, engineers, and other key stakeholders, you will help ensure that health and safety documentation is maintained, work is scheduled efficiently, and operational activities are properly coordinated. Key Responsibilities Health & Safety Administration * Maintain and update health and safety records, documentation, and compliance registers. * Assist with the preparation and maintenance of risk assessments, method statements, and safe systems of work. * Monitor training records, certifications, and expiry dates to ensure they remain up to date. * Support the reporting and recording of accidents, incidents, near misses, and safety observations. * Assist with the coordination of health and safety inspections, audits, and compliance activities. * Ensure relevant health and safety documentation is available to employees and contractors. * Provide general administrative support to the operational team. * Maintain accurate records, databases, spreadsheets, and filing systems. * Update job management systems and ensure information is accurate and accessible. * Prepare reports, spreadsheets, and operational updates as required. * Assist with raising purchase orders, processing paperwork, and tracking outstanding actions where necessary. * Support continuous improvement of administrative, planning, and compliance processes. Skills & Experience The successful candidate will have: * Previous experience in an administrative, coordination, or scheduling role. * Strong organisational skills and the ability to manage competing priorities. * Excellent attention to detail and a methodical approach to record keeping. * Good working knowledge of Microsoft Office, particularly Excel, Outlook, and Word. * Strong communication skills, with the confidence to liaise with employees, managers, customers, and contractors. * The ability to work independently, use initiative, and meet deadlines. * A proactive approach to problem-solving and the ability to adapt to changing priorities. Desirable, but not essential: * Experience working in a health and safety, facilities management, engineering, construction, or maintenance environment. * Familiarity with risk assessments, method statements, and health and safety compliance documentation. * Experience using job management, planning, or scheduling software..
