Position Summary

The Bid & Proposal Coordinator is responsible for coordinating, developing, and tracking all bid, tender, and proposal activities supporting the UK and Ireland business development team. This role focuses on creating high-quality proposal content and reusable templates, managing cross-functional inputs, and ensuring timely, accurate responses to RFPs and other customer requests. The ideal candidate is an excellent communicator who is organized, methodical, and comfortable working in a fast-paced, project-oriented environment with multiple stakeholders.

Key Responsibilities

  • Coordinate end-to-end bid and tender processes for the UK and Ireland, ensuring all requirements, deadlines, and formats are met.
  • Develop, own, and continuously improve proposal templates, standard content, and document libraries that can be reused across opportunities.
  • Work closely with cross-functional teams (sales, engineering, project management, finance, legal, operations) to gather technical, commercial, and project information required for bids and proposals.
  • Draft, format, and assemble proposal documents, RFP responses, and supporting materials that are clear, consistent, and aligned with brand and compliance standards.
  • Track and maintain an organized register of all tenders, proposals, and RFPs, including status, deadlines, deliverables, and outcomes.
  • Support the business development team with proposal-related reporting, including win/loss analysis, pipeline visibility, and continuous improvement actions.
  • Coordinate internal reviews and approvals, ensuring all stakeholders have visibility of timelines and responsibilities.
  • Manage version control, file structures, and documentation standards for all bid and proposal materials.
  • Provide timely follow-up to internal and external stakeholders on outstanding information, clarifications, and submission status.
  • Contribute to internal process improvement initiatives related to bidding, proposal development, and sales operations, and support preparation of customer-facing materials for events or presentations as needed.

Required Qualifications and Skills

  • Experience in bid coordination, proposal development, sales support, project coordination, or a similar client-facing support role, ideally in a B2B or technical environment.
  • Experience in the solar, storage, or broader energy/engineering sector is an asset but not essential.
  • Bachelor’s degree preferred, or equivalent combination of education and relevant experience.
  • Strong written and verbal communication skills with the ability to translate technical and commercial inputs into clear, professional proposal content.
  • Highly organized and methodical, with strong attention to detail, document control, and deadline management.
  • Demonstrated ability to work with cross-functional teams and manage multiple concurrent bids or projects.
  • Proficient with MS Office (particularly Word, PowerPoint, and Excel); experience with CRM and/or tender management tools is an advantage.
  • Results-oriented, self-motivated, and comfortable working in a fast-paced, growing business with evolving processes.
  • Ability to travel occasionally within North America, if required for internal or client meetings.
