The Sales Coordinator provides administrative and operational support to the Sales team, ensuring customer inquiries, quotations, orders, and related activities are managed efficiently and accurately. The role plays an important part in delivering excellent customer service, maintaining strong supplier relationships, and supporting the achievement of sales targets.

Key Responsibilities
  • Manage customer and prospect inquiries received via telephone, email, or through sales representatives.
  • Prepare accurate and competitive quotations, clarifying requirements with customers and internal stakeholders where necessary.
  • Source products and solutions through supplier networks, industry resources, and internal contacts.
  • Liaise with suppliers and operational teams to obtain accurate information for customer requests.
  • Arrange product samples, visual mock-ups, and presentation materials as required.
  • Support colleagues across the sales function with customer inquiries and administrative tasks.
  • Follow up quotations and proposals to obtain customer feedback, secure orders, or gather additional information.
  • Assist with repeat business opportunities and customer account activity as directed.
  • Coordinate the transition of confirmed orders to fulfillment teams, ensuring all relevant information is complete and accurate.
  • Ensure purchase orders, artwork, specifications, and supporting documentation are submitted within required time frames.
  • Respond to supplier and customer queries throughout the order life cycle.
  • Monitor order progress and proactively communicate updates to ensure delivery commitments and customer expectations are met.
  • Maintain accurate electronic records within the company CRM system.
  • Collaborate with marketing and design teams to support customer requests for artwork, visuals, and promotional materials.
  • Process invoicing upon completion of work and provide supporting documentation to finance teams.
  • Assist with customer and supplier invoice queries when required.
  • Resolve customer concerns where appropriate or escalate issues to the relevant manager.
  • Attend industry events, exhibitions, supplier meetings, and training sessions as required to maintain product and market knowledge.
  • Carry out additional duties consistent with the role as requested by management.
Skills and Experience
  • Previous experience in customer service, sales support, sales administration, or a similar coordination role.
  • Strong proficiency in Microsoft Office applications and general business systems.
  • Excellent written and verbal communication skills.
  • Strong organisational skills with the ability to manage multiple priorities simultaneously.
  • High level of attention to detail and accuracy.
  • Ability to work effectively with both internal teams and external stakeholders.
