The PA/Office Manager will be responsible for delivering comprehensive administrative support across a small team. This role provides essential assistance to Directors, Engineers, and other members of staff, ensuring the smooth and efficient operation of day-to-day business activities.
Core Responsibilities
- General Administration & Support
- Provide high-quality secretarial and administrative support to the wider team
- Manage and monitor incoming company emails, ensuring timely responses and appropriate distribution
- Support general office coordination and day-to-day operational tasks as required
- Payroll & HR Administration
- Process weekly time sheets and input data into payroll software
- Maintain accurate records of holiday, sickness, and absence
- Administer auto-enrollment pension processes
- Prepare contracts of employment and maintain up-to-date personnel records
- Finance & Accounting Support
- Perform bank reconciliations and maintain cashbook and petty cash records
- Assist with preparation of quarterly VAT returns
- Provide cover for sales and purchase ledger activities
- Support cash flow monitoring and reporting where required
- Contract & Client Administration
- Provide administrative support for two term maintenance contracts
- Review outstanding jobs and update records accordingly
- Communicate updates to clients in a professional and timely manner
- Assist in the preparation and issuance of client invoices
- Additional Duties
- Undertake any other reasonable duties as required to support the business
Key Skills
- Strong written and verbal communication skills
- High proficiency in Microsoft Office (Word, Excel, Outlook)
- Excellent organisational and time management abilities
- Working knowledge of payroll processes
- Basic accounting skills, including reconciliations and ledger support
