An experienced Engineering Administrator skilled in document control is required to join a leading project delivery team for an initial 12-month contract based in Leatherhead. This position offers the opportunity to work within a technically focused, professional environment supporting a significant engineering project.

Candidates with client-side experience are strongly preferred.

Role Overview

Working under broad direction, you will manage the full scope of document control activities across the project lifecycle. You will coordinate the implementation of the document management strategy, ensuring alignment with contractual, quality, and scheduling requirements. You will also lead document control personnel and ensure systems are used effectively and efficiently.

Main Responsibilities
  • Implement and manage the Document Management strategy in line with project needs.
  • Ensure all documentation deliverables meet schedule and budget requirements.
  • Liaise effectively with the project team, clients, and subcontractors to address documentation and data issues.
  • Manage engineering and supplier document distribution workflows.
  • Produce and maintain document control reports, registers, and distribution matrices.
  • Supervise a multi-location document management team.
  • Ensure consistent use of Document Management systems (IPMS, Documentum, SharePoint, etc.).
  • Maintain Master Document Register, Distribution Matrix, and Supplier SDRLs/SDLs.
  • Operate and oversee the document request for release process.
  • Support training and development initiatives for document management personnel.
  • Identify opportunities for process and system improvements.
Experience & Technical Skills
  • Degree or equivalent experience in the oil and gas or process plant industry would be beneficial.
  • Experience in document management.
  • Proficient in the use of EDMS and electronic imaging systems, such as Documentum and IPMS.
  • Experience with SharePoint is desirable.
  • Understanding of information management principles and documentation for process plant environments.
  • Experience developing and implementing procedures and document control workflows.
  • Awareness of Regulatory Authority requirements.
