We are looking for an exceptionally organised, proactive and professional Personal Assistant to support the CEO in the day-to-day management of a busy and demanding schedule.
This is a fast-paced role requiring someone who can take full ownership of the CEO’s diary, manage competing priorities, coordinate meetings and travel, and act as a key point of contact for clients and internal stakeholders.
The successful candidate will be highly organised, confident communicating at all levels and comfortable managing a constantly changing diary with discretion and professionalism.
Key Responsibilities
- Manage the CEO’s full diary on a daily basis, ensuring appointments, meetings and commitments are organised efficiently.
- Coordinate and prioritise a busy and frequently changing schedule.
- Arrange client meetings, internal meetings and external appointments.
- Organise all UK and international travel arrangements, including flights, hotels, transport and itineraries.
- Prepare detailed travel schedules and ensure the CEO has all necessary information in advance.
- Liaise directly with clients to arrange meetings and appointments.
- Manage and respond to emails on behalf of the CEO where appropriate.
- Handle client queries professionally and ensure they are followed up promptly.
- Act as a key point of contact between the CEO, clients, colleagues and external stakeholders.
- Reschedule meetings and appointments quickly when priorities change.
- Ensure the CEO is fully prepared for meetings, including providing relevant information and documentation.
- Maintain confidentiality when handling sensitive business and personal information.
- Support the CEO with general administration and ad hoc tasks as required.
- Keep accurate records, correspondence and diary information.
- Anticipate the CEO’s requirements and proactively manage upcoming commitments.
Skills & Experience
The ideal candidate will have:
- Previous experience as a PA, Executive Assistant or Senior Administrator, ideally supporting a CEO, Director or senior executive.
- Strong experience of complex diary management.
- Excellent organisational and time-management skills.
- The ability to manage multiple priorities and changing deadlines.
- Strong written and verbal communication skills.
- Confidence dealing directly with clients and senior stakeholders.
- Excellent attention to detail.
- A professional and discreet approach.
- Strong problem-solving skills and the ability to use initiative.
- The ability to remain calm and organised in a busy environment.
- Excellent IT skills, including Microsoft Outlook, Word, Excel and PowerPoint.
- Experience organising travel and detailed itineraries.
- A proactive, flexible and highly dependable approach.
