Lettings Negotiator

We are seeking a confident, personable and highly motivated Lettings Negotiator to join a busy and successful lettings team.

The successful candidate will be responsible for managing the lettings process from initial enquiry through to successful tenancy, building strong relationships with landlords and prospective tenants while delivering an exceptional level of customer service.

This is a fast-paced, customer-focused role requiring excellent communication, organisation and negotiation skills, alongside the drive to achieve individual and branch targets.

Lettings & Business Development

  • Respond promptly to enquiries from prospective tenants via telephone, email and online property portals.
  • Qualify applicants to understand their property requirements, budget and preferred location.
  • Arrange and conduct property viewings.
  • Follow up with prospective tenants following viewings and provide feedback to landlords.
  • Negotiate offers between prospective tenants and landlords.
  • Progress agreed lets through to completion.
  • Proactively contact applicants regarding new properties coming to market.
  • Maintain regular communication with landlords throughout the lettings process.
  • Identify opportunities to generate new landlord instructions and grow the property portfolio.
  • Support the wider team in achieving agreed lettings and revenue targets.

Landlord & Tenant Relationships

  • Build strong and professional relationships with landlords, tenants and prospective applicants.
  • Act as a knowledgeable point of contact throughout the lettings process.
  • Provide landlords with regular updates regarding interest, viewings and market feedback.
  • Manage expectations and resolve queries professionally and efficiently.
  • Deliver a high standard of customer service to encourage repeat business and recommendations.

Property Viewings

  • Organise viewing appointments efficiently.
  • Conduct professional and informative property viewings.
  • Develop a good understanding of available properties and their key selling points.
  • Provide prospective tenants with relevant information about properties and surrounding areas.
  • Follow up viewings promptly to obtain feedback and progress potential offers.

Negotiation & Lettings Progression

  • Negotiate rental offers confidently and professionally.
  • Liaise between landlords and tenants to agree appropriate terms.
  • Ensure all required information and documentation is obtained.
  • Work closely with administration and property management teams to ensure tenancies progress smoothly.
  • Maintain regular communication with all parties throughout the process.
  • Ensure agreed move-in dates and deadlines are achieved.

Administration & Compliance

  • Maintain accurate applicant, landlord and property information on the CRM/property management system.
  • Record telephone calls, viewings, feedback, offers and other relevant activity.
  • Ensure required documentation is completed accurately and within agreed timescales.
  • Support referencing and Right to Rent procedures.
  • Ensure activities comply with relevant lettings legislation and company procedures.
  • Maintain confidentiality when handling personal and financial information.

Marketing & Property Management Support

  • Assist with preparing property particulars and marketing information.
  • Ensure property information is accurate across online portals and marketing platforms.
  • Liaise with landlords regarding property presentation and marketing.
  • Support the team with new property launches and price reviews.
  • Maintain awareness of competitor activity and rental values within the local market.
