To support our work we are recruiting to the following role: HR Data Coordinator, Baxters - Fochabers.
The HR Data Coordinator plays a vital role in ensuring the accuracy, integrity, and effective management of HR data across the organisation. This role supports HR operations by maintaining HR systems, producing high-quality reports, ensuring compliance with data governance standards, and enabling informed people‑related decision making. The post holder will work with HR Services and work closely with Payroll and other internal stakeholders to support a seamless employee experience.
Person Specification - Essential
- Experience working in a driven administrative system.
- Strong attention to detail and commitment to data accuracy.
- Proficient in Excel and other data‑orientated tools (eg pivot tables, formulas, lookups).
- Strong organisational skills with the ability to prioritise and manage multiple deadlines.
- Understanding of data protection principles, including GDPR.
- Excellent communication skills and the ability to work collaboratively with diverse stakeholders.

- Experience with Dayforce.
- Analytical or reporting experience using Power BI.
- Previous experience working in a HR shared service or data‑focused HR role.
- Knowledge of HR Processes and employment lifecycle activities.

Accountabilities
HR Data Management
- Maintain and update employee records across HR systems, ensuring accuracy and compliance with data protection requirements.
- Perform regular data audits to identify and correct inconsistencies or gaps.
- Support system updates and configuration changes.
Reporting & Analytics
- Produce scheduled and ad‑hoc HR reports, dashboards and metrics for HR leadership, managers and other stakeholders.
- Assist in providing data for key organisational processes.
- Analyse people data to identify trends, risks and opportunities for improvement.
Compliance & Data Governance
- Ensure all HR data is managed in line with GDPR, organisational policies, and record retention standards.
- Support internal audits and external reporting requirements.
- Contribute to improvements in HR data governance and quality assurance processes.
System Support
- Act as a first point of contact for HR system queries, troubleshooting issues and liaising with system providers or IT when needed.
- Support the development of guidance materials, FAWs and training resources for system users.
- Assist with testing new system functionalities, upgrades and enhancements.
General HR Support
- Work collaboratively within the HR Services team to ensure smooth delivery of HR processes such as onboarding, contractual changes and leavers.
- Provide administrative support for cyclical HR activities including performance reviews, reporting cycles and statutory returns.
- Contribute to ongoing process improvements to enhance efficiency and user experience.
