Overview
Position summary: We are seeking a highly organised and detail-oriented Data Migration Coordinator (CRM) to join our integrations team. Your mission will be to act as the first point of contact when onboarding newly acquired agencies’ data: securing access to their CRM, exporting core datasets, running essential quality checks, and packaging the results for our Data Engineering team. This role does not involve building complex ETL or data models, but instead focuses on structured access, secure handling, and reliable delivery of data artefacts to enable seamless migrations.
Responsibilities
- Access & Security
- Obtain service accounts, API keys and IP allow-lists from CRM vendors.
- Ensure secure credential exchange and storage (e.g. 1Password/Bitwarden).
- Maintain audit trails and revoke temporary access after cutover.
- Run full data unloads and incremental deltas (e.g. by updated_at).
- Agree formats (CSV/JSON), encoding standards, and delivery schedules with vendors.
- Ensure timely, consistent exports aligned with migration timelines.
- Reconcile record counts across core entities (properties, landlords, tenants, tenancies, transactions, documents).
- Spot-check for duplicates, empty values, or invalid dates/emails.
- Flag anomalies quickly and clearly to the Data Engineering team.
- Produce lightweight data dictionaries and mapping tables (source → Dwelly schema).
- Create Postman collections and store sample records for testing.
- Deliver a structured handover pack enabling engineers to proceed without delay.
- Act as the operational liaison between CRM vendors, agency managers, and Data Engineering.
- Track deadlines, provide weekly updates, and escalate blockers.
Qualifications
- Experience: 1–3 years in IT Support, System Administration or related roles (access management, SSO/MFA, networking basics).
- Skills: Practical experience with SSH/SFTP/keys; comfort working with CSV/JSON; basic SQL (SELECT, COUNT, JOIN checks); strong attention to detail.
- Mindset: Security-conscious, methodical, highly reliable with documentation and deadlines.
Preferred Background
- Familiarity with property CRMs (Alto, Reapit, Vebra, Dezrez, Jupix/AgentOS).
- Basic scripting in Python, PowerShell or Bash for automating repetitive checks.
- Awareness of GDPR and data-handling compliance requirements.
