We are seeking a proactive and detail-oriented Production Admin Assistant to support our busy Workshop and Production teams. This junior-level role is ideal for someone looking to grow in a hands-on, fast-paced creative production environment. The role is split between workshop-based support (2–3 days per week) and cross-functional administrative and operational tasks for the remaining days.

The successful candidate will assist in coordinating production processes, managing component stocks, and supporting quality control. They will also provide cover for the Workshop Planning Manager during periods of absence.

Key Responsibilities

Workshop & Production Coordination

  1. Support in preparing production orders, ensuring components are correctly allocated before handover to the craftsperson.
  2. Assist in creating production routes and job records in the system.
  3. Help raise purchase orders (POs for special orders, hallmarking, castings, stock boxes) and subcontractor orders with clear delivery deadlines and job specifications.
  4. Management of CAD casting tracker
  5. Support in managing inventory levels and raising orders for tools and components as needed.
  6. Support dispatching work to external suppliers as directed by the Head of Workshop.
  7. Support quality control of returned work alongside the Head of Workshop, including managing Hallmarking.
  8. Liaise with internal teams, including the Gemstone Manager and Operations, for the movement and processing of goods.
  9. Record accurate costs against each production piece and assist in maintaining Bills of Materials (BOM).
  10. Help monitor and update production and delivery schedules.

Cross-Functional Admin Support

  1. Assist with monthly stock takes and ensure all stock records are accurately updated in the system.
  2. Assist in quality control during periods of high volume and provide support in photographing finished products.
  3. Provide support for job creation and BOM entry in the system, ensuring accuracy and timely updates.
  4. Receive goods and cross-check against POs, ensuring correct spend and specifications and provide support in invoice matching.
  5. Coordinate the transfers of work-in-progress and finished pieces between the UK Workshop, Production and Inventory Control Departments.
  6. Provide general admin support to production, procurement and workshop teams on an ad hoc basis (i.e GIA Reports, Department expenses, shipping documents)
