We are currently recruiting for a multi-tasking, flexible Administrator for the small accounts team based near Swadlincote. This role will be responsible for the Reception area and Company Purchase Ledgers. This position will also work closely with the finance department and assist with day-to-day accountancy functions as required.

  • Answering incoming calls and transferring to the correct department
  • Open and distribute all incoming post
  • Instruct goods inwards of waiting deliveries
  • Frank outgoing post
  • Meet and greet visitors, informing the relevant person their visitor has arrived
  • Ensuring the reception area is always clean and tidy

Purchase Ledger Administration:

  • Handling supplier invoices on a daily basis, ensuring matching to purchase orders and delivery notes
  • Monitor and review outstanding invoices with prompt resolutions of queries
  • Acting as first point of contact to resolve any supplier queries or disputes
  • Manage all filing making sure all invoices and payments are filed correctly
  • Reconciliation of monthly business credit card
  • Process all petty cash payments
  • Administrative duties to include filing, posting, etc.
  • Monthly closure of the Purchase Ledger including management reports and aged creditors
  • Maintaining office standards
  • Completing general and ad-hoc administration duties
  • Instil and maintain a customer service culture where the customer always comes first

The Person:

  • Experience of working within an accounts department or finance team but must have strong admin and multi-tasking skills
  • Able to demonstrate a good working knowledge of Word and Excel
  • Able to remain calm in a fast-paced, high-pressure environment
  • High level of attention to detail
  • Possesses ability to adopt a methodical approach to tasks
  • Able to demonstrate adherence to Company systems and procedures to ensure compliance at all times
  • Studying towards AAT would be beneficial
