We are looking for a Warranty Administrator to act as a key link between customers, engineers, suppliers and internal teams, supporting warranty claims from initial notification through to resolution. This is a fast-paced, detail-driven role where strong organisation, communication and a proactive approach are essential.
Warranty Administrator
Responsibilities
- Act as the primary point of contact for customers progressing warranty claims, handling enquiries professionally and promptly.
- Log, acknowledge and manage warranty claims through to resolution and close-out.
- Gather all information required to assess claims, including product details, serial numbers, installation dates, photographs and service history.
- Coordinate replacement parts and materials and ensure engineers have everything required for scheduled visits.
- Plan and confirm engineer visits, ensuring site documentation, access information, permits and RAMS are available.
- Keep customers informed throughout the warranty process, providing clear expectations on next steps and timescales.
- Monitor open claims and proactively progress outstanding actions to prevent unnecessary delays.
- Maintain accurate claim records, statuses and customer communications within business systems.
- Build strong working relationships with customers, engineers, Technical, Quality, Product, Sales, suppliers and other internal teams.
- Handle challenging or escalated enquiries professionally and provide relevant reports and documentation.
- Quality check engineer reports and ensure customers receive all relevant documentation in a timely manner.
- Support colleagues and contribute to the overall performance of the team.
Knowledge and skills
- Proficient in Microsoft Office, including Word, Excel and Outlook.
- Strong organisational and planning skills with the ability to manage multiple priorities.
- Previous administrative experience, ideally within a service or engineering environment.
- Professional verbal and written communication skills.
- High level of accuracy and attention to detail.
- Customer-focused with a friendly, proactive can-do attitude.
- Ability to work independently and use initiative.
- Health & Safety awareness is desirable.
- Technical awareness or knowledge of pumps or water boosting systems is desirable.
