Job Overview
Dutton Recruitment is currently looking for an Administrative Assistant for our client near Wingerworth, Chesterfield.
The role is for an immediate start with an initial three‑month period, with the possibility of extension depending on business needs.
The position is office‑based, with the possibility of home working after completion of training.
Ideal Candidate
The ideal candidate will have strong administrative and organisational skills, be proficient in Microsoft Office applications, and be confident managing a variety of administrative tasks in a busy environment.
Duties & Responsibilities
- Receiving and dealing with enquiries/complaints, processing applications for all service areas from members of the public.
- Providing relevant advice and support to customers and stakeholders.
- Assisting the performance of the Technical Support team in relation to targets and objections, preparing reports and statistical returns as required.
- Ensuring all records are kept up to date and accurate, including the environmental health database, paper records and any other recording methods deemed necessary.
- Assisting in the development and maintenance of computer‑based systems and records.
- Reconciling invoices for payments and preparing sundry debtors, ensuring compliance with the Council's standing orders and financial regulations at all times.
- Ensuring compliance with deadlines for the submission of data and reports to government departments and other organisations.
- Assisting in the maintenance of the department's information channels such as web pages and publicity campaigns.
- Participating in the efficient receipt, sorting, distribution, electronic filing and dispatch of mail.
- Developing and maintaining effective working relationships with other departments of the Council, external agencies and organisations, to ensure partnership working in service delivery including the sharing of intelligence or making appropriate referrals.
- Preparing data and reports for submission to internal and government departments, and other organisations, ensuring compliance with deadlines.
- Ordering office goods and monitoring stock levels in accordance with budgetary constraints.
- Carrying out any other duties as may be assigned by the Joint Assistant Director.
- Keeping up to date with all relevant legislation, practices and policies and contributing to the development of any service changes and improvements.
