Are you logical, tech-savvy, and interested in how technology can transform the legal world? Dutton Gregory Solicitors is looking for a Document Automation Specialist to join our growing IT team. This is an exciting opportunity to play a key role in shaping how our lawyers and support teams use technology to deliver efficient, consistent, and high-quality legal documents.

You will work closely with teams across the firm to automate document templates, streamline workflows, and support our move towards smarter, more efficient working. This position offers an excellent foundation for someone looking to build a long-term career in IT, particularly in automation, systems development, or legal technology. This role will eventually transition to remote working once training is complete and the Head of Department is confident in your progress; however, during the initial probation period and for occasional ongoing support and training, you will be required to attend the Chandlers Ford office, so applicants will need to be within a commutable distance.

Job Requirements:

  • Detail-oriented, logical, and eager to learn.
  • Confident working with Microsoft Word, particularly in formatting and template design.
  • Comfortable with or curious about basic programming concepts (e.g., conditional logic, variables, if/then statements).
  • An excellent communicator, able to explain technical processes clearly to non-technical colleagues.
  • Organised, proactive, and enjoys solving problems.
  • Experience in document automation is helpful but not essential — what matters most is your enthusiasm for technology, attention to detail, and willingness to learn.

Job Responsibilities:

  • Assist with the production and coding of legal documents and forms within ActionStep and associated third-party integrations.
  • Support process and workflow development to ensure documents and forms are effective and user-friendly.
  • Build conditional logic and variable fields to streamline document generation.
  • Ensure all documents comply with firm-wide and legal standards.
  • Collaborate with lawyers and support staff to understand their document needs.
  • Provide clear guidance to legal teams on how and why documents are structured in specific ways.
  • Share knowledge and documentation with the training team to ensure best practices are understood and followed.
  • Maintain the reliability, availability, confidentiality, and security of all firm data and information.
  • Deliver high standards of user support and care in a professional and approachable manner.
  • Assist the Director of IT.
