We are looking for a Fleet Administrator to join our team. You will be responsible for the efficient coordination, recordkeeping, and compliance of the company’s vehicle fleet, as well as performing general administrative tasks to support daily business operations. This includes overseeing daily vehicle checks, maintenance scheduling, regulatory compliance, and driver support, while also assisting with office administration such as document management, correspondence, scheduling, and data entry. The role ensures that all vehicles are safe, roadworthy, and properly maintained to minimize downtime and maximize operational performance.
Key Responsibilities:
- Oversee and verify daily vehicle checks completed by drivers, ensuring all safety and operational inspections are performed before vehicles go into service.
- Maintain a log of daily inspection reports and ensure any defects or issues are reported and resolved promptly.
- Schedule regular maintenance, servicing, and repairs to keep all vehicles safe and compliant.
- Manage vehicle and driver documentation, including registration, insurance, MOT, and Tax.
- Coordinate vehicle acquisitions, disposals, and replacements as directed by management.
- Support driver onboarding and compliance by maintaining updated records and ensuring policy adherence.
- Implement and maintain fleet management systems to streamline reporting and recordkeeping.
- Conduct periodic audits of vehicle records, inspection reports, and compliance documentation.
- Perform general administrative duties including filing, data entry, document management, scheduling, and internal communication support.
Qualifications:
Experience: Minimum of 2 years’ experience in fleet administration, logistics, or transportation coordination preferred but not essential.
Technical Skills: Proficient in Microsoft Office (Excel, Word, Outlook) and fleet management software (e.g., Samsara, Verizon Connect, or similar).
Knowledge: Understanding of vehicle maintenance processes, compliance standards, and asset tracking best practices.
Soft Skills: Excellent communication, organization, and problem-solving abilities. Strong attention to detail and ability to manage multiple priorities.
