We are currently recruiting for a Corporate Administrator to join our Duncan & Todd Head Office in Dyce, Aberdeen. This role will be a Fixed Term Contract - full time (37.5 hours) working Monday to Friday in the office.

The successful candidate will provide administrative support to our Smart Employee Eyecare division and to promote Duncan and Todd's Corporate Eyecare/SEE to potential clients and ensure existing client’s requirements are fulfilled.

Key Responsibilities

  • Handle requests for Eyecare packs and SEE vouchers ensuring the appropriate materials are provided to the client in a timely manner.
  • Deal with queries from existing clients to ensure their requirements are fulfilled, e.g. dealing with clients’ employees, dispatch of stationery to nominated personnel, invoice queries and any other relevant tasks.
  • Process Eyecare forms and vouchers and record and process sight tests and spectacle orders as appropriate, ensuring all queries, cancellations and non-conformance are noted and acted upon.
  • Monitor manufacturing time and delivery time of spectacle orders and follow up any queries/delays at Caledonian Optical and inform Network Optician of any delays.
  • Liaise with the Accounts Department to assist with any queries regarding Network Opticians, payments or invoices, resolving issues or referring to the Corporate Manager as appropriate.
  • Ensure filing is carried out daily to ensure current records are up to date and accurate and that material is archived as appropriate.
  • Assist with the monthly stock take, ensuring accurate stock levels are recorded and any discrepancies highlighted to the Corporate Manager
  • Being first point of contact of all customer related queries.
  • Any other duties as required to assist in the smooth running of the department

Candidate Profile

  • Previous experience within an administration or sales administration environment – full training will be provided for this specific role
  • Experience in a customer facing or client facing role
  • Good working knowledge of Microsoft packages
  • Good verbal and written communication
  • High attention to detail and accuracy
