This is a great opportunity for someone to support members of the DUAL Executive. Full time position: working 5 days a week. Working within a small, fun, collaborative executive team in London.

We are looking for a motivated and enthusiastic starter to act as a dedicated PA resource to the UK Chief Operating Officer, UK Chief Distribution Officer and UK and Europe Chief Actuary. Demonstrating an understanding and awareness of the commercial operation to provide a professional and commercially-focused administration and organisational assistance. This role operates in a fast-paced and changing environment, with activities relating to UK and International requirements.

Role responsibilities:
  • Proactive and accurate diary management, forward planning to arrange UK & international meetings ensuring time is effectively managed understanding daily and weekly priorities.
  • Screen emails and assess whether action needs to be taken and/or respond where necessary.
  • Manage all travel arrangements including international travel, hotel bookings and produce in advance a comprehensive travel itinerary for each trip.
  • Provide support to the UK Chief Operating Officer by drafting and/or preparing a full range of materials including emails and meeting materials.
  • Co-ordinate and assist with organising company events and corporate hospitality ensuring all events are delivered effectively.
  • Effectively prioritise workload and adapt service delivery in response to the requirements of the UK COO, UK CDO and UK and Europe Chief Actuary.
  • Act as a point of contact for the team, providing a professional and customer-focused service liaising with and responding to clients, external providers and agencies.
  • Develop and maintain relationships with the third parties.
  • Work collaboratively with the Executive and Personal Assistant community.
  • Providing the production of documents, briefing papers, reports and presentations where requested.
  • Liaise with DUAL Reception to ensure meeting rooms and refreshments are booked for meetings and relevant teams or guests are notified.
  • Support the UK COO with the management of the 17th floor, liaising with the Howden CRES team on facilities and space-related matters.
  • Attend the UK COO's weekly team leadership meetings, and coordinate the delivery of the monthly IT & Ops newsletters and quarterly IT & Ops Townhalls, supporting effective communication and engagement.
  • Exercise a high degree of discretion and confidentiality at all times, especially when dealing with privileged information and sensitive issues, to safeguard the company's interests.
  • Provide support to the UK CDO's team by coordinating Distribution workshops, reviews and team away days, ensuring all arrangements run smoothly.
