The primary purpose of this position is to provide a smooth and efficient process for customer sales orders whilst providing back‑office support. We are seeking a senior specialist in logistics to support our sales team, accounts team and laboratory. The role is part of a small team in a fast‑paced, dynamic environment performing business critical functions covering accounts, ordering, admin and supporting sales managers. The ideal candidate will be comfortable engaging with customers by email and phone, supporting sales admin, ordering stock and raising invoices.

Responsibilities

  • Processing sales orders and customer communication regarding orders, including order confirmation, packaging, sales invoice, courier shipping details, tracking customers' parcels and lost shipments.
  • General admin: sending copies of sales invoices, credit notes, setting up new customers in the finance and operations database (currently SAP), handling web shop queries, customer invoice queries, standing orders, raising sales quotes, and lab invoicing for Runcorn.
  • Stock management: ordering stock from head office, managing stock shelf‑life, setting and monitoring stock levels, including inventory counting and adjustments as required. Unpacking incoming sales deliveries and booking inventory onto the system. Inputting new sales pricing. Monitoring non‑inventory items and ordering stationary, dispatch materials.
  • Answering customer queries by phone and email and directing them to relevant colleagues.
  • Sending dunning letters and supporting the finance department with queries.
  • Supporting on‑site and remote audits.

Quality Responsibilities

  • Immediately report all observed deviations from internal SOPs, Romer Labs Manual and international standards.
  • Support performance of internal and external audits, timely processing and closure of defined non‑conformities and recommendations in own department.
  • Complete assigned trainings with corresponding written evidence.
  • Comply with Good Documentation Practices to provide written evidence and help the company establish consistent practices, minimizing risk of misinterpretation or errors in communication and ensuring product quality.

SHE Responsibilities

  • Assist in procurement/maintenance of SHE‑relevant materials and equipment, and improve SHE topics in own area(s) of responsibility.
  • Control and comply with Safety, Health and Environmental regulations and standards in the area of responsibility.
  • Proactively report SHE observations, unsafe behavior, near misses and incidents, wear prescribed PPE and suggest ideas for improvement.

  • Experience of SAP is desirable but not essential.
