We are seeking a highly organised and detail-oriented Business Administrator to join our team. The successful candidate will provide essential administrative support to ensure the smooth operation of our business functions. This role offers an excellent opportunity for individuals with strong office experience and proficient computer skills to contribute to a dynamic organisation. The Business Administrator will be responsible for managing various clerical tasks, maintaining accurate data entry, and supporting daily office activities.

KEY RESPONSIBILITES

  • Invoicing / Credit Control / Supplier Management
    • Process sales and purchase invoices in Xero using correct account codes
    • Reconcile bank transactions and maintain Skipton account reporting
    • Improve and optimise the organisation’s use of Xero
    • Manage the sales ledger: raise and issue invoices/credits and assist with customer queries
    • Conduct credit control activities in line with agreed credit terms
    • Manage the purchase ledger: verify against delivery notes and POs, batch and upload invoices
    • Monitor and manage the Accounts mailbox
  • Credit Insurance
    • Maintain credit insurance registers
    • Comply with credit insurance requirements, including Creditsafe monitoring
    • Process credit application forms
    • Issue credit limit notifications and overdue account letters
  • General Administration
    • Support administrative and office operations across the business
    • Provide executive assistant support to the Directors
    • Maintain tidy office, kitchen, and meeting areas; prepare refreshments for visitors
    • Deliver professional reception and front-of-house duties
    • Manage incoming and outgoing post
    • Liaise with the weekly cleaner
    • Assist with month-end preparation
    • Maintain an organised shared server
    • Manage schedules and records for vehicles (leases, MOTs, DVLA, insurance)
    • Maintain registers for company assets and devices (phones, laptops, SIMs, tablets)
    • Maintain workwear records and the purchasing board
  • HR Administration
    • Process weekly factory employee timesheets
    • Maintain up-to-date holiday records and calendars
    • Conduct new-starter inductions (IT setup, access control, keys, distribution lists, workwear, personal information)
    • Maintain confidential employee records

KEY REQUIREMENTS

  • Proficient knowledge of Xero accounting software
  • Strong working knowledge of Microsoft 365
  • Excellent communication and copywriting skills
