We are seeking an organized and proactive Office Manager to ensure the smooth operation of our London office. This role is ideal for someone with strong organizational skills, excellent attention to detail, and a friendly demeanor who thrives in a fastāpaced environment.
As the Office Manager, you will manage our London office and oversee daily office operations, support administrative tasks, and help maintain a positive and productive workplace. The role will report to the Director, IT in the US. Supporting the International organisation (approx. 100 people), with the office management focus being on the UK Office (approx 50 people) this role will be an integral part of the UK team. The role is varied, covering the full spectrum of office management responsibilities as well as some Finance and Procurement activities for the UK and the International organisation as required.
What You Will Do- Work with Global Facilities to manage and oversee the London facility, ensuring it meets our needs and runs efficiently.
- Develop and implement processes for smooth office operations.
- Oversee and manage insurance renewals for UK and international offices, working with Finance to ensure invoices are processed on time.
- Welcome visitors, handle phone/email enquiries, act as the main point of contact with our Landlord and managed services organisation regarding any buildingārelated requirements.
- Partner with Global IT to provision, maintain stock, order, and ship & collect equipment.
- Track spend and ensure budgets are hit for office equipment and supplies. Keep the office stocked with stationery, food, and beverages, tracking spend and budgets.
- Ensure ergonomic and health & safety compliance, acting as Fire Warden and First Aider.
- Raise purchase requests and POs in NetSuite, manage new vendor process, and coordinate with logistics providers for equipment deliveries and collections.
- Work with external logistics company to arrange deliveries/collections of company equipment e.g. marketing materials for events.
- Perform additional tasks as needed to support the office and team across the International region.
- Proven experience as an Office Manager, Administrative Assistant, or similar role.
- Strong organizational and multitasking skills with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Excellent communication and interpersonal skills.
- Ability to work independently and proactively solve problems.
- Familiarity with basic bookkeeping, budgeting and procurement processes would be a plus.
- Able to be in the London office full time Monday to Friday ā Linen Court, 10 East Road, London, N1 6AD.
- A sense of humour and resilience ā for those days that donāt quite go to plan!
