About the role
Working within the Supply Chain Department, the role of Order Management Coordinator is to facilitate the effective management & shipment of sales orders to meet internal and external customer expectations. This is a vital role within our business and is key to the on-going growth and development of Draeger Safety UK Ltd.
Main Job Objectives
- Control of the company order book and shipping requirements, reporting on risks and potential delays.
- Management of clean sales orders, ensuring they are despatched on time, in full and to the customer’s specification.
- To communicate any delays to the sales team/internal customers in a timely, efficient manner detailing actions and resolution.
- To accurately process outbound deliveries.
- Control and track sales orders and customer shipments.
- Identify any inefficiencies and introduce process improvements.
- To perform a daily review of the current order book, to ensure delivery dates of customer orders are met and to proactively inform the Sales Department of any issues.
- To ensure sales orders are despatched and invoiced.
- Track the Order Book value daily and On Time Delivery.
- To handle bottleneck situations together with Sales – prioritising orders and to report to the Department Manager and Supply Chain Team.
- Track and monitor freight spend (both external / internal).
- Assist & evaluate needs with shipping points, services, weights & freight permits, and other information needed, to transport goods.
- Initiates, resolves & documents tracer enquiries when requested.
- Notifying consignees of shipment arrival and coordinating shipment information to other offices and/or agents.
- Arrange the movement of freight to domestic and international customers - consignee/agents & update SAP / FIS (Freight information system) with transport data.
- Tracking of urgent shipments, through to the delivery to the customer and reporting to the Department Manager on completion.
- Spot check packing lists & invoices and other relevant documentation for errors and correct these errors to minimise or eradicate impact.
- Use the Warehouse management system to prepare accurate customs paperwork for outbound freight.
- Ensure correct shipments and appropriate paperwork is given to Drivers, particularly upon departure.
- Action any customer enquiries/queries, providing relevant feedback to the customer in a timely manner.
- Managing the transport of dangerous goods to all destinations, ensuring the correct paperwork, labelling etc. is actioned.
- Ensure the accuracy of all sales orders and shipping documents through strict adherence to Standard Operating Procedures (SOS).
- Complete monthly, weekly, and daily management reports linked to department KPI. Detailing all issues and corrective actions required.
- Support with or lead special projects at the request of the Department Manager.
- Ensure effective security processes are followed (particularly with regard to driver and visitor sign in).

Size of team/environment
Working in a team of 4, responsible for all aspects in Order Management and full cross training is adopted on a regular basis to cover holidays etc. Working in a shared office environment.
Role Requirements
- Ideally qualified to Business Administration-Level 4 or equivalent and/or have equivalent experience.
- Demonstrable previous customer service, shipping and/or distribution experience is essential.
- Data entry relating to customer orders.
- Must have ADR experience.
- IATA experience would be desirable.
- Proven track record of achievement in a similar position.
- Previous experience of direct contact and cost negotiations relating to transport providers.
- Experience with import and export compliance is highly desirable.
- Proven understanding of shipping management.
- Knowledge of dangerous goods transportation processes and regulations.
- Working knowledge of SAP would be an advantage.
- Excel report writing skills are essential.
- Effective written and oral communication skills.
- Computer literate and capable of data input.
- Must be highly self-motivated.
- Able to work effectively as an individual and as part of a team.
