We are looking for a new Executive Assistant to join our team based in Loudwater, Buckinghamshire. In this role, you will provide comprehensive, proactive and confidential administrative support and assistance enabling both the CEO and CFO to maximise their time.
You will be instrumental in supporting complex diary management with conflicting requirements and deadlines. As well as supporting the CEO and CFO, you will have additional responsibility to assist their teams of direct reports involving expense administration, overseas travel arrangements and large team meeting coordination.
Here’s a taste of what you’ll be doing day-to-day:
- Act as the first point of contact for the CFO and CEO, communicating effectively both in writing and verbally with key senior contacts and stakeholders internally and externally.
- Proactive diary management, which will include arranging meetings and appointments, foreseeing potential clashes and dealing with them accordingly, cancelling and re-scheduling, giving apologies and dealing with internal and external requests for availability.
- Organise internal and external meetings and ensure rooms and facilities are booked. Prepare agendas, distribute high quality minutes and actions as required.
- Monitor and manage emails for the CFO and CEO to ensure timely action is taken where necessary and deadlines are met, responding where appropriate in their absence.
- Arrange and co-ordinate all travel arrangements, accommodation and expenses administration both in the UK and internationally for CFO and CEO and direct line reports, whilst providing clear, documented itineraries and ensuring they have everything they require for their trip.
- Process cash and credit card expenses for them.
- Maintain efficient electronic and paper filing systems, particularly keeping statutory records, board minutes, legal documents and contracts.
- Produce a weekly departmental whereabouts schedule and maintain team holiday records.
- Perform general office duties including photocopying, scanning and ordering stationery; checking, coding and authorising invoices, maintaining budget logs, processing purchase orders where required and dealing with ad hoc requests and tasks as required.
- Establish and maintain accurate filing systems, contact lists and other reference information.

- Experience as an EA to Directors/senior managers in a corporate organisation.
- Experience of diary management and organising frequent travel with conflicting priorities.
- Proven communication skills, both written and verbal.
- Excellent MS Office skills particularly Outlook and including Word, Excel, PowerPoint and web technologies.
- Able to work on own initiative and as part of a team.
